- Client ID Auto-Generation (Client Database):
=IF(A2="","C"&TEXT(ROW()-1,"000"),A2)— Generates unique IDs starting from C001. - Count Active Clients:
=COUNTIF(Status, "Active")— Used in Dashboard to show active client count. - Last Interaction Date (Per Client):
=MAXIFS(InteractionLog!$D:$D, InteractionLog!$B:$B, [Client ID])— Finds the most recent interaction date. - Monthly New Clients:

Conditional Formatting
To improve readability and highlight important data:
- Status Column (Client Database): - Green background for “Active” - Red background for “Inactive” - Yellow for “Pending Contact”
- Last Interaction Date (Dashboard): - Light red if older than 30 days
- Interaction Log – Contact Type Column: - Blue highlight for "Meeting" or "In-Person"
User Instructions
- Open the template in Microsoft Excel (version 2016 or later).
- Navigate to the Client Database sheet. Enter new client information in rows below existing data.
- To log an interaction, go to the Interaction Log sheet and fill in all fields. Use the dropdowns for consistency.
- The Client ID will auto-generate; use it to link interactions correctly.
- Review the Dashboard Summary sheet for key metrics. Charts update automatically when new data is added.
- To add a new client, simply insert a blank row at the bottom of the Client Database table and fill in details.
- Save your file frequently and consider backing it up to cloud storage for safety.
