Sheet Names & Purpose

  • Daily Log (Main Sheet): The primary entry point where users input daily information. This is the core of the data collection function.
  • Data Summary Dashboard: A dynamic view that aggregates and visualizes data from the Daily Log using charts, pivot tables, and KPIs.
  • Task Categories & Templates: Contains predefined task types (e.g., Cleaning, Schoolwork, Exercise) to speed up data entry and ensure consistency in daily planning.
  • Quick Reference Guide: Instructions and tips for using the template effectively.

Table Structure & Columns (Daily Log Sheet)

The main table in the Daily Log sheet is structured as a chronological data log with 13 columns: | Column | Data Type | Description | |--------|-----------|------------| | Date | Date (DD/MM/YYYY) | Automatic date stamp, set to today by default. | | Time Start | Time (HH:MM AM/PM) | When the activity began. | | Activity Type (Dropdown) | Text/Validation List | From pre-defined list in "Task Categories" sheet. Examples: Meal Prep, Child’s Homework, Laundry, Workout, Reading, etc. | | Duration (Minutes) | Number (Integer) | Time spent in minutes for the task. Auto-calculated if end time is provided. | | Time End | Time (HH:MM AM/PM) | When the activity ended. Optional but recommended for accuracy. | | Priority Level | Text/Validation List | Low, Medium, High – used for filtering and dashboard reporting. | | Task Status | Text/Validation List | Not Started, In Progress, Completed, Delayed – tracks task progress daily. | | Notes (Optional) | Text (Short) | Free-form field for comments or context. | | Energy Level (1-5) | Number (1 to 5) | Self-rating of energy upon completing the task. Helps identify patterns in productivity and fatigue over time. | | Mood Rating (1-5) | Number (1 to 5) | Subjective mood assessment after the activity, aiding emotional wellness tracking. | | Task Category Grouping | Text/Formula Output | Automatically groups tasks into larger categories like “Household,” “Health & Wellness,” “Family Time” using VLOOKUP from "Task Categories" sheet. | | Tags (Optional) | Text (Comma-separated) | User-defined tags like #kids, #fitness, #groceries for advanced filtering and searchability. |

Formulas Required

The template uses several formulas to automate data processing:
  • Duration Calculation: =IF(AND(Time End<>""), (Time End - Time Start)*1440, "") → Converts time difference into minutes.
  • Task Completion Status Indicator: =IF(Task Status="Completed", "✓", "✗")
  • Automatic Date Entry: =TODAY() in the first row, then auto-filled down.
  • Category Grouping: =VLOOKUP(Activity Type, Task Categories!$A$2:$B$15, 2, FALSE)
  • Daily Time Spent (Summarized): In the Dashboard: =SUMIFS(Daily Log!D:D, Daily Log!A:A, TODAY())

Conditional Formatting Rules

To enhance visual clarity and data interpretation:
  • Priority Color Coding: High priority tasks are highlighted in red; Medium in yellow; Low in green.
  • Status Indicator: “Completed” status turns cell green with a checkmark icon via conditional formatting + emoji font.
  • Energy & Mood Trends: Cells with values below 3 are highlighted in orange, indicating low energy/mood for follow-up.
  • Daily Total Duration: If total daily time exceeds 8 hours, the row is shaded in light red to flag potential over-scheduling.

Instructions for the User

  1. Open the Template: Save and open the Excel file. Enable macros if prompted (though this template is macro-free).
  2. Begin Your Day: On a new row, enter today’s date (auto-filled), select an activity from the dropdown, and input start time.
  3. Track Duration: Enter end time or let Excel auto-calculate duration if both times are provided.
  4. Add Context: Use Notes for reminders, Tags to categorize further, and rate your mood/energy after each task.
  5. Navigate to Dashboard: Review summaries showing daily totals, time spent per category, and weekly trends.
  6. Review Weekly Patterns: Use filters in the Data Summary Dashboard to analyze productivity peaks, energy dips, or recurring tasks.
  7. Export & Reflect: Export the Daily Log to PDF monthly for personal reflection or share with family members for collaborative planning.
