Table Structures and Columns

Data Entry (Main Log)

This table captures real-time household data. It is structured in a tabular format with the following columns:

  • Category: List (Dropdown: Expenses, Maintenance, Health & Wellness, Family Activities, Energy Usage) – Categorizes each data point.

Summary Dashboard

This sheet displays dynamic summaries, visualizations, and key metrics based on the raw data from the Data Entry sheet. It includes:

  • Top 5 Categories by Total Spend/Usage (bar chart)
  • Monthly Trend Line Chart for Total Expenses
  • KPIs: Current Month Total, Year-to-Date (YTD) Summary, Average Daily Entry
  • Quick Filter Section for Date Range and Category Selection

Formulas Required

To ensure automatic data updates and dynamic summarization, the following Excel formulas are applied:

  • =SUMIFS(DataEntry!$D:$D, DataEntry!$B:$B, SummaryDashboard!$A$1): Sums amounts by category (used in KPIs).
  • =SUMPRODUCT((DataEntry!$C:$C>=SummaryDashboard!E2)*(DataEntry!$C:$C<=SummaryDashboard!F2)): Counts entries within a date range.
  • =AVERAGEIFS(DataEntry!$D:$D, DataEntry!$B:$B, "Expenses"): Calculates average daily expense by category.
  • =COUNTIF(DataEntry!$C:$C, ">=1/1/2024"): Counts entries from the start of the year.
  • =INDEX(MATCH(...)) or XLOOKUP (if available): For dynamic data pulls from Data Entry to Summary Dashboard.

Conditional Formatting Rules

To enhance readability and highlight important information, the following conditional formatting rules are applied:

  • High-Value Entries (e.g., > $100): Applies red background with white text.
  • Recurring Categories: Uses green fill for "Maintenance" and blue for "Health & Wellness".
  • Date Colored by Weekday: Sunday = light red, Saturday = light yellow, weekdays = white.
  • Overdue Tasks (if applicable): If a maintenance item is past its due date, cell background turns orange.

User Instructions

To use this template effectively:

  1. Open the file and go to the Data Entry (Main Log) sheet.
  2. Fill in each row with accurate data using the dropdown for Category and entering values in Amount.
  3. Use Notes liberally to record context (e.g., "Groceries for weekly meal prep").
  4. Navigate to the Summary Dashboard sheet to view automatic visual summaries.
  5. Adjust the date range filter at the top of Summary Dashboard for different time frames.
  6. Add new entries daily or weekly—data updates dynamically across all sheets.
  7. To reset or archive old data, copy the Data Entry sheet and paste it into a new workbook (recommended monthly).
