Excel Template: Loan Calculator – Planning View for Data Collection

This comprehensive Excel template is specifically designed as a Data Collection tool combined with an advanced Loan Calculator, offering users a structured, dynamic, and intuitive interface to plan, forecast, and monitor loan-related financial data. The template operates in a Planning View style—ideal for financial planners, loan officers, small business owners, or personal budget managers who need to collect real-time data while simulating various loan scenarios.

Sheet Names

  1. Data Input & Collection: The primary entry point for all user-provided loan details and financial metrics. This sheet serves as the central hub for Data Collection.
  2. Loan Schedule (Amortization): Displays a detailed monthly repayment schedule, including principal, interest, balance, and cumulative payments.
  3. Scenario Comparisons: Allows users to input multiple loan scenarios (e.g., different interest rates or terms) for side-by-side comparison.
  4. Dashboard & Visuals: A summary view with KPIs, charts, and visual dashboards to interpret data trends and support decision-making.

Table Structures

Data Input & Collection Sheet:

  • A main input table spanning columns A to F (rows 5–10), where each row represents a different loan entry. This supports data collection across multiple loans or scenarios.
  • Adjacent to the input table is a secondary summary section (row 12) that automatically calculates key metrics like total payment, interest paid, and effective interest rate.

Loan Schedule (Amortization) Sheet:

  • A structured table starting from row 5 with the following columns: Month, Payment Due Date, Beginning Balance, Payment Amount, Principal Portion, Interest Portion, Ending Balance.
  • Each row represents one month of the loan term. The table dynamically adjusts based on user inputs from the Data Input sheet.

Columns and Data Types

Data Input & Collection Sheet:

  • Loan ID (Text): Unique identifier for each loan (e.g., "Loan-001").
  • Loan Amount (Currency): Total borrowed sum, entered as a positive number.
  • Annual Interest Rate (%): Decimal value representing the annual interest rate (e.g., 5.75% entered as 0.0575).
  • Loan Term (Months): Duration of loan in months (e.g., 60 for a 5-year loan).
  • Start Date (Date): First payment date, used to generate future dates.
  • Type of Loan (Dropdown): Options: Personal, Auto, Mortgage, Business. Enables filtering and grouping.

Loan Schedule Sheet:

  • Month (Number): Sequential number from 1 to total term.
  • Payment Due Date (Date): Auto-calculated date using EDATE function based on start date and month number.
  • Beginning Balance (Currency): Balance at the start of the month; depends on previous ending balance.
  • Payment Amount (Currency): Fixed monthly payment calculated via PMT formula.
  • Principal Portion (Currency): Amount applied toward reducing loan principal.
  • Interest Portion (Currency): Interest charged for the month based on remaining balance and rate.
  • Ending Balance (Currency): Balance after payment; calculated as beginning minus principal portion.

Formulas Required

  • PMT Function: In the Data Input sheet, calculate monthly payment:
=PMT(Annual Interest Rate / 12, Loan Term, -Loan Amount)
  • CUMIPMT & CUMPRINC Functions: For cumulative interest and principal paid over a period (useful in summary section).
  • EDATE Function: To auto-generate payment due dates:
    =EDATE(Start Date, Month - 1)
  • IF & ISERROR Functions: To prevent error display in amortization schedule (e.g., for months beyond loan term).
  • SUMIFS Function: In the Dashboard sheet, to sum total principal/interest by loan type.

Conditional Formatting

  • Overdue Payments Highlighting: If a payment due date is in the past and unpaid (user can flag via “Status” column), apply red fill and bold text.
  • High Interest Rate Alert: Highlight cells in the "Annual Interest Rate" column if value exceeds 10% with yellow background.
  • Declining Balance Gradient: Apply a data bar to the "Ending Balance" column to visually show loan reduction over time.
  • Duplicate Loan ID Warning: Use conditional formatting with formula:
=COUNTIF($A$5:$A$100, A5) > 1 to highlight duplicate entries in the Loan ID column.

User Instructions

To use this template effectively:

  1. Navigate to the Data Input & Collection sheet and enter loan details in rows 5–10. Use dropdowns where available for consistency.
  2. Ensure the "Start Date" is formatted as a date (e.g., 01/01/2024).
  3. The monthly payment, total interest, and other summary metrics will auto-calculate based on formulas.
  4. Go to the Loan Schedule sheet to view the full amortization table. This table dynamically updates if input values change.
  5. In the Scenario Comparisons sheet, duplicate rows from Data Input and modify variables (e.g., interest rate) to compare outcomes.
  6. Explore the Dashboard & Visuals for KPI summaries and interactive charts. You can filter data by loan type using slicers.
  7. To add a new loan, insert a row below the last entry in Data Input and copy formatting. Use F4 (or Ctrl+D) to repeat formulas down.
