Table Structures and Column Definitions

Sheet 1: Data Entry (Main Sheet)

This sheet uses a structured table format to ensure data consistency. The table is named "tblMonthlyData" for easy referencing in formulas.

Column Data Type Description
Date (YYYY-MM-DD) Date (Standard format) Primary identifier. All entries must be dated within the current month.
Task/Activity Text (Limited to 50 characters) A brief description of the activity (e.g., “Client Call,” “Inventory Audit”).
Category Dropdown List (Predefined categories: Sales, Operations, HR, Marketing, Finance) Select from predefined options to standardize data collection.
Time Spent (minutes) Numeric (Whole number only) Number of minutes spent on the task. Must be > 0.
Status Dropdown List: Not Started, In Progress, Completed, On Hold Track progress for each activity.
Priority Level Dropdown List: Low, Medium, High Ranks importance of the task (used in dashboard filtering).
Notes Text (Unlimited) Add comments or additional context.

Sheet 2: Monthly Summary Dashboard

This interactive summary dashboard pulls real-time data from the "Data Entry" sheet and presents insights through visual elements. It includes:

  • A calendar grid layout (Planner View) showing each day of the month with task icons, status indicators, and time summaries.
  • KPIs: Total hours collected, tasks by category, average time per task.
  • Interactive filters for category and priority level.

Formulas Required

To maintain accuracy and automate calculations across the template, the following formulas are implemented:

  • Dynamic Date Range Validation (in Data Entry):
    =AND(ISDATE([@Date]), MONTH([@Date])=MONTH(TODAY()), YEAR([@Date])=YEAR(TODAY()))
    Ensures that only current month dates are accepted.
  • Task Count by Category (in Dashboard):
    =COUNTIFS(tblMonthlyData[Category], "Sales")
  • Total Time Spent by Day (Calendar View):
    =SUMIFS(tblMonthlyData[Time Spent (minutes)], tblMonthlyData[Date], A2)
    Where A2 contains the date for that cell in the calendar grid.

Conditional Formatting Rules

Enhances visual data interpretation through color-coding:

  • Status Color Coding:
    - Not Started: Light gray
    - In Progress: Yellow
    - Completed: Green
    - On Hold: Orange
  • Priority Highlighting:
    High Priority tasks are highlighted in red; Medium in amber; Low in light blue.
  • Time Spent Heatmap (in Calendar View):
    Daily cells use a gradient scale: green (low time), yellow, red (high time) based on total minutes.
  • Overdue Tasks:
    If a task's due date is passed and status ≠ Completed, the row is flagged in red.

User Instructions

1. Open the template and save it with a unique name (e.g., "Q3_2024_Planning").
2. On the "Data Entry" sheet, use the dropdowns for Category and Status to ensure data consistency.
3. Enter tasks daily—each row represents one activity.
4. Use the "Data Validation & Instructions" sheet as a reference for any formula questions or troubleshooting.
5. The "Monthly Summary Dashboard" updates automatically based on your entries.
