SHEET NAMES AND STRUCTURE

The template consists of four primary worksheets designed to support comprehensive data collection and presentation:

• 1. Inventory Overview (Client View): The main dashboard sheet where clients can instantly access summarized inventory data, performance metrics, and key visualizations.
• 2. Item Master List: A centralized database containing all items in the warehouse, including item codes, descriptions, categories, and supplier details.
• 3. Daily Stock Transactions: A transaction log where new inventory entries, outgoing shipments, adjustments (e.g., damage or loss), and returns are recorded daily.
• 4. Data Collection Log: A form-based sheet designed for inputting data from field inspections, audits, or supplier deliveries with validation rules and drop-down selections.

This form is designed for field data entry during audits or deliveries:

• Date of Audit/Collection: Date (Auto-filled with =TODAY())
• Collector Name: Text input (with drop-down list of authorized users)
• Warehouse Zone: Dropdown: A, B, C, D or "Central"
• Status Flag: List: “Complete”, “Pending”, “In Progress”

FORMULAS REQUIRED

The following formulas are embedded for automation and accuracy:

• Current Stock Level (Item Master List):

  This formula calculates total stock by summing all positive and negative quantities for each SKU excluding adjustment entries (if needed).

• Last Updated (Dashboard):

CONDITIONAL FORMATTING

The template uses dynamic formatting to enhance usability:

• Low Stock Items: Highlight cells in red if stock level is below reorder threshold.
• Status Indicator (Dashboard): Green for "In Stock", Yellow for "Low Stock", Red for "Out of Stock".
• Daily Transactions: Highlight outbound transactions in blue; inbound in green.

INSTRUCTIONS FOR THE USER

1. Open the template and enable editing to unlock formulas and data validation.
2. Populate the "Item Master List" first with all inventory items; use the drop-down list for consistency.
3. Add new transactions daily using the "Daily Stock Transactions" sheet – ensure accurate SKUs and quantities.
