Formulas Required
The following formulas are embedded to automate tracking and enhance functionality:
- Auto-generate Week Range (Week # / Date Range):
=TEXT(DATE(YEAR(TODAY()),1,1)+7*(ROW()-2),"mmm d") & " – " & TEXT(DATE(YEAR(TODAY()),1,1)+7*(ROW()-2)+6,"mmm d")
This dynamically generates the date range based on the row number and current year. - Due Date Reminder Indicator (Conditional Color):
=AND(DueDate<=TODAY()+3, DueDate>=TODAY(), Status<>"Completed")
Highlights upcoming tasks due in the next 3 days. - Time Utilization Percentage:
=IF(ActualTimeSpent=0, "", ActualTimeSpent/EstimatedTimeRequired)
Calculates efficiency ratio (e.g., 1.2 = completed in 20% more time). - Weekly Total Estimated Time:
=SUMIF(SubjectColumn, "Math", EstimatedTimeColumn)
Aggregates total estimated study time per subject for each week. - Status Count (by Week):
=COUNTIF(StatusRange, "Completed")
Helps measure productivity weekly.
Conditional Formatting Rules
To enhance visual clarity and improve planning, the following conditional formatting rules are applied:
- Task Due Within 3 Days: Cells with due date within next 3 days are highlighted in yellow.
- Overdue Tasks: If a task's due date is before today and status is not "Completed", the row turns red.
- High Time Priority (Over 90 mins): Tasks requiring more than 90 minutes are shaded in light blue to signal high commitment.
- Status Color Coding:
- Not Started: Gray fill
- In Progress: Light green
- Completed: Green border with checkmark emoji (✓)
- Delayed: Orange background with warning icon (⚠️)
