  • Auto-Generate Employee ID: In the Employee Master Log, use: =TEXT(COUNTA(A:A)+1,"EMP000") (assuming A is the first column)

Conditional Formatting Rules

  • Overdue Tasks: Highlight rows in red if "Status" is "Overdue".
  • Pending Actions: Yellow fill for tasks with "Pending" status.
  • Last Review Date: Green highlight if the last performance review was within 6 months; red otherwise.
  • Department Distribution: Use color scales on the Dashboard to visualize department size trends.

User Instructions

  1. Open the Excel file and ensure "Developer" tab is enabled (File → Options → Customize Ribbon).
  2. Enter new employee data in the "Employee Master" sheet. Use drop-down lists to maintain consistency.
  3. Add maintenance records under "Maintenance Activities." The system auto-fills Next Due Date based on activity type.
  4. Update status as tasks are completed. Overdue entries will be flagged automatically.
  5. Use the Dashboard sheet to monitor team health, track training progress, and identify bottlenecks.
  6. To generate reports: Use PivotTables (Insert → PivotTable) based on filtered data from the Maintenance Log.
  7. Save a copy before sharing or making bulk updates. Enable "Track Changes" if multiple users access the file.
