Check-In Time Time (HH:MM) Time when the asset was checked in or deployed on-site.
Check-Out Time Time (HH:MM) When the asset was returned or taken off-site.
Usage Notes Multiline Text Free-text field for recording issues, special handling instructions, or event-specific remarks.

Formulas Used in the Template

The template incorporates several critical formulas to automate tracking and ensure accuracy:

  • Auto-Fill Asset Name (Column C): Uses =VLOOKUP(B2, 'Asset Inventory Master List'!$A:$E, 2, FALSE) to pull the asset name based on the Asset ID.
  • Status Validation: A data validation rule prevents invalid entries in "Status" column by restricting values to a predefined list.
  • Time Duration Calculation (Column G): Calculates usage time with =IF(D2="", "", D2 - C2). Displays time difference in Excel's default format.
  • Missing Check-Out Warning: Uses a helper column with formula: =IF(AND(F2<>"", G2=""), "Check-out missing!", "") to flag assets still checked in but not out.

Conditional Formatting Rules

To enhance visual clarity and highlight critical issues, the following rules are applied:

  • Overdue Check-Outs (Red Background): If a check-out time is blank but check-in time exists, the row turns red.
  • Asset in Maintenance Required (Orange): Rows where Status = "Maintenance Required" are highlighted in orange.
  • High Usage Assets (Green): Assets used for over 6 hours on a given day turn green to indicate heavy utilization.
  • Dates Highlighted by Today's Date: The current date row is bolded and shaded gray for quick visual reference.

Instructions for the User

  1. Open the template and enable macros (if prompted) to ensure dynamic features work properly.
  2. Navigate to the Asset Inventory Master List, and populate all available assets with their ID, name, category, condition, location, and vendor info.
  3. For each day leading up to the event (and on event day), update the Asset Tracker (Daily) sheet:
    • Select an asset from the dropdown (or type Asset ID).
    • The system auto-fills name, category, and location.
    • Update status based on current condition.
    • Enter check-in/out times and assign to responsible personnel.
  4. Use the “Usage Notes” column for any anomalies (e.g., "Microphone has static").
  5. Review the Daily Status Dashboard regularly to monitor real-time asset availability and identify bottlenecks.
  6. After the event, use the dashboard to generate a post-event summary report and flag damaged or lost items for replacement.
