Formulas Required

  • Next Maintenance Due: =IF([Last Maintenance Date]="", "", [Last Maintenance Date] + 180)
  • Available Quantity: =[Quantity Available] - [Quantity Reserved]
  • Status Indicator (Color Code): Use conditional formatting to highlight equipment with maintenance due in next 30 days.
  • Total Reserved Items per Event: Use SUMIF to tally the number of each item reserved across all events.
  • Event Count by Type: Use COUNTIF or Pivot Table for summary reports by equipment type.

Conditional Formatting Rules

  • Status Column:
    • In Stock: Green background
    • Reserved: Yellow background
    • Maintenance Needed (Next Due within 30 days): Red text with orange fill
    • Lost/Damaged: Dark red background, bold text
  • Next Maintenance Due: Highlight rows where the date is in the next 7 days with a warning symbol and red border.

User Instructions

  7. Use print-friendly views for event prep checklists and on-site inventory logs.
