Excel Template for Event Planning - Home Template (Client View)

Purpose: This Excel template is specifically designed for event planning professionals and organizations offering client-facing services. The "Home Template" serves as the central dashboard and client view interface, enabling clients to monitor, understand, and interact with their event details in a structured yet user-friendly format.

Template Type: Home Template — This is the primary master sheet that aggregates data from other supporting sheets, providing an overview of all events under management.

Style/Version: Client View — Designed with clarity, visual appeal, and simplicity to ensure clients can easily navigate event details without requiring Excel expertise. The interface emphasizes readability, color coding for status tracking, and intuitive data representation.

Sheet Names

The template consists of four main sheets:
  1. Home Dashboard (Client View)
  2. Event Details
  3. Budget Tracker
  4. Note: These secondary sheets are hidden from client view by default, but accessible by administrators.

Table Structures and Column Definitions

1. Home Dashboard (Client View)

This sheet is the centerpiece of the template and contains a summary table with key event data:

Client Name Text Name of the client or organization hosting the event
Event Type List (Dropdown) Possible values: Wedding, Corporate Meeting, Birthday Party, Conference, Product Launch, Charity Gala
Event Date Date (mm/dd/yyyy) Date the event is scheduled to occur
Location Text Name and address of the venue (e.g., Grand Ballroom, 123 Main Street)
Status List (Dropdown) Options: Planning, Confirmed, In Progress, Completed, Cancelled
Budget Total Currency ($) Total allocated budget for the event (linked to Budget Tracker sheet)
Actual Spend Currency ($) Sum of all expenditures (automatically calculated from Budget Tracker)
Budget Utilization % Percentage (%) Formula: Actual Spend / Budget Total * 100
Days Until Event Integer (Number) Difference between Today’s Date and Event Date (calculated with TODAY() function)

2. Budget Tracker Sheet

Formulas Required

The Home Dashboard uses dynamic formulas to keep data current:
  • Budget Utilization %: =IFERROR((Actual Spend / Budget Total) * 100, 0)
  • Days Until Event: =Event Date - TODAY()
  • Actual Spend (Home Dashboard): =SUMIFS(BudgetTracker!$E:$E, BudgetTracker!$B:$B, Event ID)
  • Budget Total (Home Dashboard): This cell is manually entered or can be linked to a master budget sheet.

Conditional Formatting Rules

To enhance visual clarity and client experience:
  • Status Column: Color-coded with:
    • Green for "Completed"
    • Orange for "In Progress"
    • Red for "Cancelled"
    • Purple for "Planning"
  • Budget Utilization %:
    • Green: 0–80%
    • Yellow: 81–95%
    • Red: >95%
  • Days Until Event:
    • Green: 30+ days remaining
    • Orange: 1–29 days remaining
    • Red: 0 or negative (past event)

User Instructions for the Client View Template

  1. Open the Excel file and ensure macros are enabled (if required).
  2. Do not edit data in the Home Dashboard unless instructed.
  3. To update budget figures, navigate to the hidden "Budget Tracker" sheet and enter expenses under the corresponding Event ID.
  4. The dashboard automatically updates when new data is added or dates change (due to TODAY() function).
  5. Use the "Event Type" dropdowns for consistency in reporting.
  6. For client reporting, export this sheet as PDF using File > Save As > PDF format.
