Event Planning Monthly Planner (Extended) – Comprehensive Excel Template

The Event Planning Monthly Planner (Extended) is a fully-featured, professionally designed Excel template tailored to streamline the management of events across an entire month. This powerful tool combines the precision of structured planning with the flexibility required for dynamic event scheduling and tracking. Designed specifically for event coordinators, planners, marketing teams, or small business owners managing multiple monthly activities—from product launches and team offsites to weddings and trade shows—this template ensures clarity, efficiency, and data-driven decision-making.

Sheet Structure

The template consists of five core worksheets that work in harmony to support comprehensive event planning:

  1. Calendar Overview (Monthly View): A visual calendar displaying all events with color-coding for types and statuses.
  2. Event Details Tracker: A detailed table housing all relevant information for each planned event.
  3. Budget & Expenses Log: Tracks costs, allocations, and expenditures linked to each event.
  4. Task & Milestone Schedule: Breaks down events into actionable tasks with deadlines and responsible parties.
  5. Dashboard Summary: An executive-level report with charts, KPIs, and real-time performance indicators.

Data Structure & Table Design

1. Calendar Overview (Monthly View)

This sheet uses a dynamic calendar grid (January 1–31) with color-coded cells based on event type. Each cell corresponds to a date and displays the number of events scheduled, short titles, and icons for status (e.g., ✅ for completed). The layout is optimized for clarity with headers in bold and month/year selection via a drop-down menu.

2. Event Details Tracker

This table spans 15 columns and supports over 100 rows by default (expandable). Columns include:

  • Event ID (Text/Number): Auto-generated unique identifier (e.g., E-2024-12).
  • Date: Date type, formatted as "DD/MM/YYYY".
  • Title: Short descriptive name of the event.
  • Type: Drop-down list: Conference, Workshop, Wedding, Product Launch, Networking Event.
  • Status: Drop-down: Scheduled, In Progress, Completed, Cancelled.
  • Location: Text input (physical or virtual).
  • Venue/Platform: Specific venue name or Zoom/Teams link.
  • Contact Person: Name of the primary contact.
  • Email & Phone: Contact details for follow-up.
  • Budget (USD): Currency-formatted number field (e.g., $5,000.00).
  • Actual Spend: Auto-calculates using data from the Budget & Expenses Log.
  • Attendance Target: Integer for projected participants.
  • Confirmed Attendees: Number of sign-ups (can be linked to a form via external integration).
  • Risk Level: Drop-down: Low, Medium, High.
  • Note: Optional free-text field for notes or reminders.

3. Budget & Expenses Log

This table links to the Event Details Tracker via the Event ID. Columns include:

  • Event ID (Text): Reference to main event.
  • Description: Expense category (e.g., Catering, Decor, Marketing).
  • Date Incurred: Date when the expense was paid.
  • Amount (USD): Currency-formatted amount.
  • Status: Paid / Pending / Overdue.

4. Task & Milestone Schedule

A timeline-based table with columns for:

  • Task ID (Auto): Sequential numbering.
  • Description: What needs to be done (e.g., "Book venue").
  • Event ID: Links to the main event.

  • Assigned To: Name of team member.
  • Due Date: Date type with reminders set via conditional formatting.
  • Status (Progress): Drop-down: Not Started, In Progress, Complete.

5. Dashboard Summary

A visual command center displaying key metrics such as:

  • Total number of events per month.
  • Budget variance (planned vs. actual).
  • Completion rate (% of events completed).
  • Upcoming tasks (next 7 days).

Formulas & Calculations

The template is enhanced with robust formulas across sheets:

  • Event Count by Type: Uses =COUNTIF(EventDetails[Type], "Conference").
  • Budget Variance: In Event Details: =Actual Spend - Budget, displayed in red if negative.
  • Status Indicator: Conditional formatting uses formulas to flag overdue tasks or pending payments.
  • Attendance Rate: Formula: =Confirmed Attendees / Attendance Target, shown as a percentage.
  • Automated Event ID Generator: Uses =CONCATENATE("E-", YEAR(TODAY()), "-", TEXT(MONTH(TODAY()), "00"), "-", COUNTA(EventDetails[Event ID])+1).

Conditional Formatting Rules

  • Overdue Tasks: Red fill with white text if Due Date is earlier than today.
  • Budget Overrun: Amber background if Actual Spend exceeds Budget by 5% or more.
  • Status Coloring: Green for "Completed", Yellow for "In Progress", Red for "Cancelled".
  • High Risk Events: Bold red border and flashing icon if Risk Level = High.
