Formulas and Automation
The template leverages Excel’s powerful formula engine to reduce manual work and prevent errors.- VLOOKUP / XLOOKUP: Used in the Event Inventory Tracker to pull "Unit Cost" and other details from the Master List.
- IF & AND Statements: Conditional logic to flag low stock (e.g., if Stock Level ≤ Threshold, highlight in red).
- SUMIFS: Calculates total cost per event or total quantity used across events by category.
- COUNTIFS: Tracks how many times each product was used across past events for forecasting.
- Auto-Generated IDs: Uses a simple formula like =TEXT(TODAY(),"yy") & "-" & TEXT(COUNTA(A:A)+1,"000") for event and product ID generation.
Conditional Formatting Rules
To enhance visibility and urgency, the following rules are applied:- Low Stock Alert: If "Total Quantity in Stock" ≤ "Minimum Threshold", cell turns red with bold text.
- Pending Delivery: When Status = “Ordered” or “Received”, background changes to yellow if the delivery date is within 3 days of today.
- Overused Items: Products used in more than 5 events this year receive a green highlight.
- Total Cost Thresholds: If Total Cost > $1,000 for an event, the row turns orange for financial review.
User Instructions
- Open the template file (Excel – Template Version).
- Navigate to Inventory Master List. Enter all products with accurate quantities and costs. Use the dropdowns for consistency.
- Create a new event in Event Inventory Tracker: Assign an Event ID, name, date, select items from the master list via dropdowns.
- Enter required quantities and let Excel auto-calculate cost per unit and total cost.
- Update the Status column as delivery progresses (Ordered → Received → In Use).
- Check the Dashboards & Summary Reports tab for real-time visualizations.
- To generate reports, use the “Generate Summary” button (macro-enabled) or manually refresh charts.
- Save regularly and back up using Excel’s built-in version history or cloud sync (OneDrive/SharePoint).
