  • Status Indicator: Conditional formatting based on status value.
  • Overdue Task Flag: =IF(AND([@Date] < TODAY(), [@Status] <> "Completed"), "Overdue", "")

Conditional Formatting

To improve visual tracking, the following rules are applied:

  • Priority Levels: High = Red fill, Medium = Yellow fill, Low = Green fill.
  • Status Column: “Not Started” → Gray text; “In Progress” → Blue text; “Completed” → Green checkmark icon (using icons from Excel).
  • Overdue Tasks: Highlight entire row in red if task date is before today and status is not completed.
  • Dates Approaching: Highlight tasks within 2 days of the scheduled date with orange background.

User Instructions

  1. Download the template and open in Microsoft Excel (version 365 or later recommended).
  2. Navigate to the “Event Overview” sheet and fill in event-specific details.
  3. Proceed to “Schedule Planner (Main)” — enter each task with date, time, description, category, assignee, and priority.
  4. Use the dropdown menus for consistency in status and category entries.
  5. Formulas will automatically calculate durations; ensure all times are entered correctly (HH:MM).

  7. To monitor budget, update the “Budget Tracker” with planned and actual costs — a pie chart auto-updates for visual progress.
  8. Before printing, go to the “Print Layout” sheet — it is optimized for landscape printing across multiple pages if needed.
  9. Use File > Print > Page Setup to select printer settings, margins (set to "Narrow"), and fit to page.
