Asset ID: Unique identifier (Auto-generated or user-defined)
Asset Name: Descriptive name (e.g., "Desktop Computer Model X1")
Category: Asset type (e.g., IT Equipment, Vehicle, Furniture)
Sub-Category: Further classification within category (e.g., Laptops, Servers)
Department/Owner: Department responsible or individual owner
Acquisition Date: Date when asset was purchased or received (Date type)
Cost (USD): Initial purchase price (Currency – USD only, with data validation)
=IF(UsefulLife=0, "Invalid", UsefulLife): Prevents zero useful life entries.
Conditional Formatting
To enhance visibility and alert users to critical data, conditional formatting is applied:
Red highlight for assets with current value below 10% of original cost.
Yellow highlight for assets due for maintenance within the next 30 days (based on next inspection date).
Blue background applied to all retired or decommissioned assets.
Green highlight when depreciation method is “Declining Balance” and useful life exceeds 5 years.
Data bar coloring in the "Cost" column shows relative expense levels across assets.
User Instructions
How to Use:
Open the template and go to the User Guide & Instructions sheet for setup steps.
Add new assets using the “Add New Asset” form in the Asset Master List (use Ctrl + N).
Update any asset details directly; changes are automatically reflected in related tables.
