Goal Setting Equipment Inventory Printable Excel Template

This printable Excel template uniquely combines the strategic structure of Goal Setting with the practical management of an Equipment Inventory. Designed for professionals, teams, or individuals seeking to align their operational goals with tangible asset tracking, this comprehensive tool ensures that every goal is supported by a clear understanding of required equipment and resources. The integration between personal/team objectives and physical inventory provides transparency, accountability, and measurable progress across departments or projects. This template is optimized for printability, making it ideal for audits, presentations, project reviews, or sharing with stakeholders who need a clear visual overview of goals and asset status.

Sheet Structure

The template consists of three main worksheets:

  • Goals & Objectives: Central sheet for defining SMART (Specific, Measurable, Achievable, Relevant, Time-bound) goals.
  • Equipment Inventory: Detailed tracking of all equipment used to achieve these goals — including purchase date, condition, location, and responsible personnel.
  • Goal vs. Equipment Dashboard: A dynamic summary sheet that visually links each goal with its associated equipment assets using charts and conditional indicators.

This sheet auto-generates charts and status indicators based on the data in the other two sheets.

  • Goal Progress Bar Chart: Visual representation of each goal’s status against its target date.
  • Equipment Usage Heatmap: Shows which equipment is assigned to which goals, with color coding by condition and priority.
  • Missing Equipment Alert List: Identifies any goal without associated equipment (flagged in red).
  • Status Summary Table: Aggregates total number of active, completed, and overdue goals and equipment records.

Formulas Required

The template uses a combination of built-in Excel formulas to ensure real-time updates:

  • =IF(C3="Completed", "✓", "○") – Automatically adds a checkmark or circle for goal status.
  • =DATEDIF(B3, TODAY(), "d") – Calculates the number of days since purchase to help track aging assets.
  • =IFS(AND(C5="High", D5="In Progress"), "Red", AND(C5="Middle", D5="In Progress"), "Yellow", TRUE, "Green") – Dynamic color-coding for priority and status.
  • =COUNTIF(E2:E100, "*G-") – Counts how many goals each piece of equipment is linked to (to ensure coverage).
  • =SUMIFS(K2:K100, D2:D100, "In Use") – Totals the number of in-use equipment items.

Conditional Formatting Rules

  • Out-of-Warranty Alerts: Cells with warranty expiry less than 6 months from today turn red.
  • Poor Condition Highlight: Any equipment marked as "Poor" in the condition column is shaded in orange and bolded.
  • Status Indicators: Goals with status "Overdue" are colored red; those on track appear green, with yellow for near due.
  • Goal-Equipment Mismatch: Rows where a goal has no linked equipment are highlighted in pink and listed in the dashboard as a warning.
