Sheet Names
The template consists of five logically structured worksheets:
- Assets Overview: Central dashboard summarizing all tracked assets with key metrics.
- Monthly Asset Log: The primary data entry sheet where users record and update asset information monthly.
- Depreciation Tracker: A specialized sheet to calculate asset depreciation using straight-line or declining balance methods.
- Maintenance & Service Schedule: Tracks upcoming and completed maintenance tasks based on manufacturer recommendations or usage patterns.
- Monthly Summary Dashboard: Visual charts and KPIs derived from the monthly data, updated automatically every month.
Table Structure & Columns (Monthly Asset Log)
The core of the template resides in the Monthly Asset Log sheet, structured as a dynamic table with standardized columns to ensure consistency and automation. Each row represents one asset tracked during a specific month.
| Column | Data Type | Description |
|---|---|---|
| Asset ID (Auto-generated) | Text/Number (Auto-incrementing) | A unique identifier for each asset. Generated automatically via formula to prevent duplicates. |
| Asset Name | Text | E.g., “Kitchen Refrigerator,” “Dining Table Set,” “Samsung 65” TV” |
| Category | Drop-down List (Fixed Options) | Select from: Electronics, Furniture, Appliances, Tools, Vehicles (if applicable), Decorations, Clothing/Accessories (high-value items). |
| Purchase Date | Date | Exact date of purchase; used for depreciation and warranty tracking. |
| Original Cost ($) | Number (Currency Format) | The initial price paid for the asset. |
| Current Value ($) | Formula-Based | Automatically calculated using depreciation formulas from the Depreciation Tracker sheet. |
| Month | Date (Month-Only Format) | The month of reporting (e.g., January 2024). Used for filtering and charting. |
| Status | Drop-down: Active, Under Repair, In Storage, Sold/Disposed, Damaged | Tracks the operational state of each asset monthly. |
| Maintenance Due (Next Month) | Yes/No or Checkbox | Flag indicates whether maintenance is due in the following month based on scheduled intervals. |
| Note | Text (Optional) | Add comments: e.g., “Replaced filter,” “Warranty expires June 2025.” |
Formulas Required
Several formulas ensure automation, accuracy, and integration across sheets:
- Auto-generated Asset ID (Column A):
Use:=TEXT(TODAY(), "YYMMDD")&"-"&TEXT(ROW()-1,"000") - Current Value Calculation (Column F):
Linked to the Depreciation Tracker sheet via:=VLOOKUP([@Asset ID],DepreciationTracker!$A:$D,4,FALSE) - Month Field (Column E):
Use:=DATE(YEAR([@Purchase Date]),MONTH([@Purchase Date]),1), then set to display as "MMM YYYY" - Status Color Coding: Conditional formatting applies color based on status values.
- Total Asset Value by Month: Sum of all current values grouped by month in the Monthly Summary Dashboard.
Conditional Formatting Rules
To enhance visual clarity and highlight critical data, apply these conditional formatting rules across relevant columns:
- Status Column:
Red for “Damaged” or “Sold/Disposed”
Orange for “Under Repair”
Green for “Active” - Maintenance Due:
Yellow highlight if "Yes" to draw attention. - Current Value:
If value is below 30% of original cost, use red text and italic formatting (signaling aging asset). - Purchase Date:
Highlight assets older than 5 years in light gray background.
