The primary data table is structured with the following columns:

Calculated using straight-line depreciation: (Purchase Cost - (Depreciation Rate * Years Since Purchase)). Default rate = 10% per year.

Choose from: Living Room, Kitchen, Bedroom 1, Garage, Basement, Outdoor Area.

Lists the team member(s) responsible for maintenance or daily use of the asset.

Date of last service or check-up (e.g., HVAC filter change, appliance inspection).

=IF(ISBLANK([Last Maintenance Date]), "", [Next Service Interval] - TODAY() + [Last Maintenance Date]) where interval is 30, 60, or 90 days per asset type.

Free-text field for additional details such as model number, serial number, or repair history.

  • Status Alert: Conditional formatting triggers based on "Maintenance Due In" value.

Conditional Formatting Rules

  • Red Highlight: If “Maintenance Due In” ≤ 7 days → indicates urgent attention.
  • Yellow Highlight: If “Maintenance Due In” between 8–14 days → cautionary reminder.
  • Purple Background: If “Status” is “Out of Order” or “Missing.”
  • Green Text: For assets with warranty expiry > 30 days from today.

User Instructions

  1. Add New Asset: Click the first blank row in the “Asset Tracking Sheet.” Enter details starting from “Asset Name” and select appropriate category, location, and assign user(s).
  2. Update Status: Always update “Status” when an asset is repaired, replaced, or removed.
  3. Maintenance Log: Record every maintenance event in the dedicated “Maintenance Log” sheet. This helps build a repair history and triggers auto-alerts.
  4. Share Access: Use Excel Online or Google Sheets (if converted) to allow team members to access and edit simultaneously with version tracking.
