- Auto-increment Item ID:In cell A2: `=IF(B2="","",ROW()-1)` and drag down. This ensures unique IDs based on row number. - Date Added (Auto-fill):
In cell H2: `=IF(B2="","",NOW())` – automatically inserts the date/time when a new item is added. - Status Tracking:
Use formulas in the "Purchase Log" sheet to track changes from "To Buy" to "Purchased". - Count of Items by Category:
In the Dashboard, use `=COUNTIF(Main_Shopping_List!C:C,"Food")` to count how many food items remain. - Purchase History Summary:
Use `=FILTER(Purchase_Log!A:D, Purchase_Log!D="Purchased")` (if using Excel 365) to pull completed purchases.
Conditional Formatting
To enhance usability and visual clarity:- Overdue Items: Apply red fill to any item with "Status" = "To Buy" and "Date Added" older than 7 days (using a custom formula: `=AND($F2="To Buy", TODAY()-H2 > 7)`).
- Priority Items: Use yellow highlight for items marked as “High Priority” in the Notes column.
- Completed Items: Apply green fill and strikethrough font to items with Status = "Purchased".
- Category Color Coding: Assign different background colors to each category (e.g., blue for Food, green for Cleaning) via conditional formatting rules.
User Instructions
1. Open the template in Excel 365 or Microsoft Excel with cloud sync enabled. 2. Assign unique names (e.g., “Alex”, “Sam”) to team members in the "User Guide" sheet. 3. Click on an empty row under "Item Name" and begin adding items with quantity, category, and your name. 4. Change Status from "To Buy" to "Purchased" after buying the item—this automatically updates dashboards. 5. Use the “Add Item” section at the top to quickly input new entries without scrolling. 6.
