  • Unit of Measure (Dropdown): Units like Liter(s), Pack(s), Gram(s), Piece(s), etc.
  • Priority (Dropdown): High, Medium, Low – helps prioritize shopping trips and prevents omission of essentials.
  • Status (Checkbox): A tick-box to mark items as purchased during the shopping trip.
  • Planned Date (Date): The date when this item is scheduled for purchase (defaults to current week).

Each row represents a unique shopping item. The table starts with a header row, and users can insert or delete rows as needed. The template automatically sorts entries by Priority and Category.

2. Inventory Tracker Sheet

This sheet tracks what’s currently in the home inventory to avoid duplicate purchases.

  • Item Name (Text)
  • Current Quantity (Number)
  • Unit of Measure (Dropdown)
  • Last Updated (Date): Automatically updates when changes are made.

This sheet is linked to the Shopping List via VLOOKUP and conditional logic to flag items that are low or out of stock.

3. Weekly Summary & Dashboard Sheet

A visually rich overview of your weekly home management performance. Includes:

  • Category-wise spending trends (via chart)
  • Purchase completion rate (% of items bought)
  • Top 5 used categories
  • Remaining inventory alerts

Formulas Required

The template uses a series of dynamic formulas to automate tracking and analysis:

  • Status Completion Formula:
    In the Summary sheet: =COUNTIF(ShoppingList!F:F, TRUE)/COUNTA(ShoppingList!F:F) → gives percentage of items purchased.
  • Low Stock Alert (Inventory Tracker):
    Uses =IF(CurrentQuantity <= ThresholdValue, "Low", "OK"), where ThresholdValue is set per item in a hidden column.
  • Auto-Populate Categories:
    Data validation with list formulas to ensure consistency.
  • Dynamic Date Range (Planned Date):
    Uses =TODAY() and conditional logic to highlight items due for purchase within the next 3 days.

Conditional Formatting Rules

To enhance usability, the template includes several visual cues:

  • Priority-Based Highlighting:
    High-priority items are highlighted in red; Medium in yellow; Low in light green.
  • Due Soon Items:
    Items with "Planned Date" within the next 3 days are marked with a bold blue border.
  • Low Inventory Alerts:
    Rows on the Inventory Tracker turn red if quantity is below threshold.
  • Purchased Status:
    Once checked, the row background turns light gray and text becomes strikethrough.

User Instructions

  1. Open the template and enable macros (if required).
  2. Navigate to the Shopping List (Main) sheet.
  3. Add new items with their category, quantity, unit, priority, and planned date.
  4. Update the inventory on the Inventory Tracker sheet after each shopping trip or usage event.
  5. The template will auto-flag low-stock items and track completion status.

  7. To start a new week: copy the previous week’s data (if desired), reset status checkboxes, and adjust inventory levels accordingly.
