Formulas Required

  • Duration (F): =IF(E2="", "", (TIMEVALUE(E2) - TIMEVALUE(D2)) * 1440) → Calculates minutes between start and end time.
  • Daily Total Hours (G): =SUMIF(A:A, A2, F:F)/60 → Aggregates total hours per day.
  • Scheduled vs. Actual (H): Optional column to compare planned vs. actual time; uses a simple formula like =IF(F2<15, "Under", IF(F2<=30, "On Target", "Over")).

Conditional Formatting Rules

  • Highlight Tasks by Category: Use color scales (e.g., green for cleaning, blue for childcare) to visualize category distribution.
  • Daily Total Color Coding: If daily total exceeds 4 hours, highlight the row in yellow; over 6 hours in red.
  • Time Duration Alerts: Highlight any task lasting more than 90 minutes with a warning color to prompt reflection on time efficiency.
