Table Structure in 'Invoice Data' Sheet
The Invoice Data sheet is structured as a simple table with clearly defined columns. It follows a basic, clean layout to ensure ease of use and minimize errors. The table begins at cell A1 and expands dynamically as new records are added.
Columns and Data Types
- Invoice ID (Text): Unique identifier for each invoice (e.g., INV-2024-001). Must be unique per record.
- Date Issued (Date): The date the invoice was generated. Format: YYYY-MM-DD.
- Due Date (Date): The deadline by which payment is expected. Automatically calculated from 'Date Issued' + 'Payment Terms'.
- Customer Name (Text): Name of the client or customer who received the invoice.
- Invoice Amount (Currency): Total amount billed. Must be numeric and formatted as currency ($, €, etc.).
- Payment Terms (Text): Duration before payment is due (e.g., "Net 30", "Net 15"). Used to calculate Due Date.
- Status (Dropdown List): One of the following: "Pending", "Paid", "Overdue". Default value: "Pending".
- Days Overdue (Number): Automatically calculated as the difference between today's date and Due Date if Status is 'Overdue'. Otherwise displays 0.
- Payment Date (Date): The actual date when payment was received. Left blank until payment occurs.
Formulas Required
To maintain data integrity and automate KPI tracking, the following formulas are implemented:
- Due Date (Column E):

Conditional Formatting
To enhance visual clarity and help users quickly identify critical data, conditional formatting is applied:
- Overdue Invoices: If a row's 'Status' is "Overdue", the entire row turns red with bold text to draw immediate attention.
- Paid Invoices: Rows with "Paid" status are shaded in light green.
- High Value Invoices: Invoices over $5,000 have yellow background to highlight large transactions.
- Dates Close to Due: If 'Due Date' is within 7 days of today, the cell is highlighted in amber.
Instructions for the User
To use this template effectively:
- Open the file and navigate to the Invoice Data sheet.
- Add a new row for each invoice. Fill in all required fields (Invoice ID, Date Issued, Customer Name, Invoice Amount, Payment Terms).
- The 'Due Date' and 'Status' will be auto-calculated based on formulas.
- When an invoice is paid, enter the payment date in the "Payment Date" column to update status automatically.
- Check the KPI Dashboard sheet regularly for real-time KPI summaries and charts.
- To add more invoices, simply type below row 2 (the header row) — the table expands automatically.
- Avoid deleting or modifying any formulas in Columns E–H to prevent errors.
