Monthly Logistics Project Plan Excel Template: Comprehensive Overview

This highly structured and customizable Excel template is specifically designed for logistics planning within a monthly project management context. Tailored to meet the complex demands of supply chain coordination, inventory management, transportation scheduling, and delivery execution, this Monthly Logistics Project Plan Template seamlessly integrates the strategic overview of a Project Plan with the operational granularity required by weekly and daily logistics activities. By combining project planning principles with monthly cycle tracking, this template empowers logistics managers to forecast needs, allocate resources efficiently, monitor KPIs in real-time, and ensure on-time delivery across multiple fulfillment centers or distribution networks.

Sheet Structure

The template consists of five core sheets that work in unison:

  1. Dashboard Overview: Centralized performance monitoring with charts and key metrics.
  2. Monthly Logistics Plan: The main project planning sheet with task breakdowns, timelines, and dependencies.
  3. Resource Allocation Tracker: Manages personnel, vehicles, warehouse space, and equipment availability per month.
  4. Delivery Schedule & Status Log: Tracks shipments from origin to destination with real-time status updates.
  5. Data Reference & Calendar: Contains dropdown lists for project phases, carrier names, regions, statuses, and a dynamic monthly calendar generator.

Table Structures and Column Definitions

Sheet 1: Dashboard Overview (Summary View)

This sheet includes:

  • KPI Cards: Total planned shipments, on-time delivery rate (%), delayed shipments count, resource utilization rate.
  • Monthly Performance Chart: Bar graph showing shipment volume per week across the month.
  • Status Heatmap: Color-coded grid indicating project health (Green = On Track, Yellow = At Risk, Red = Delayed).

Sheet 2: Monthly Logistics Plan (Core Project Plan)

This is the main workhorse of the template. It includes a Gantt-style table with the following columns:

Task ID Task Name Department/Team Start Date (DD/MM/YYYY) End Date (DD/MM/YYYY) Status % Complete
L-001Procure Raw Materials – Warehouse AProcurement01/04/202415/04/2024In Progress65%
L-002Load Shipment 1 – Region 3Warehouse Ops16/04/202418/04/2024Not Started
L-003Track Delivery via Carrier XLogistics Coordination19/04/202425/04/2024On Hold (Delay)

All dates are entered as Date type, Status uses a dropdown (Not Started, In Progress, On Hold, Completed), and % Complete is a number input from 0 to 100.

Sheet 3: Resource Allocation Tracker

Tracks availability and usage of critical assets:

  • Resource Type: Dropdown (Truck, Forklift, Warehouse Staff, etc.)
  • ID/Name: Unique identifier or name.
  • Total Available (Units): Integer input.
  • Allocated This Month: Number input (automatically calculated via formula).
  • % Utilization: Formula-based: =Allocated / Total Available.
  • Status: Conditional formatting flags over-allocation (>100%) in red.

Sheet 4: Delivery Schedule & Status Log

A transactional table with columns for shipment tracking:

  • Shipment ID: Unique alphanumeric code (e.g., SHP-2404-A1).
  • Origin/ Destination: Drop-downs from a list of predefined regions.
  • Pickup Date / Delivery Due Date: Date type.
  • Carrier Name: Dropdown from Data Reference sheet.
  • Status: [Planned, In Transit, Delivered, Delayed].
  • Delay (Days): =IF(Status="Delayed", Delivery Due Date - TODAY(), 0).
  • On-Time Indicator: =IF(DELAY > 0,"Late","On Time") via conditional logic.

Sheet 5: Data Reference & Calendar

Provides dynamic dropdowns for consistency. Includes a built-in monthly calendar generator (using formulas to auto-fill weekdays, weekends, and holidays).

Required Formulas

  • % Complete: =IF(STATUS="Completed",100%, IF(STATUS="In Progress", 50%, 0)) – for auto-estimation.
  • Resource Utilization: =MIN(1, (Allocated / Available)) to cap at 100%.
  • Delay Calculation: =IF(Status="Delayed", MAX(0,DUE_DATE - TODAY()), 0)
  • KPI Dashboard Dynamic Values: Use SUMIFS, COUNTIFS, AVERAGEIF functions across the logistics sheets.

Conditional Formatting Rules

  • Red: Tasks with End Date before today and Status ≠ Completed.
  • Yellow: Tasks where % Complete is below 30% and Start Date is more than 3 days ago.
  • Green: On-time deliveries (Delay = 0).
  • Pink Background: Shipment IDs flagged as high-priority in the Delivery Log.

User Instructions

  1. Begin by selecting your month from the Data Reference sheet.
  2. Enter all logistics tasks in the Monthly Logistics Plan sheet, assigning start/end dates and responsible teams.
  3. Update resource allocations based on projected needs – the template warns of over-allocation automatically.
  4. Use the Delivery Schedule to log real-time shipment movements. Update Status daily or weekly.
  5. The Dashboard auto-updates with KPIs and visualizations based on current data.
  6. At month-end, export the report for management review or use it as input for next month’s planning cycle.
