Logistics Planning Project Template (Employee View) - Detailed Excel Overview

Purpose: This Excel template is specifically designed for Logistics Planning, enabling employees to efficiently manage and track their daily, weekly, and project-based logistics activities. The template supports end-to-end coordination of transportation schedules, inventory movement, delivery timelines, warehouse operations, and team responsibilities within a structured project framework.

Template Type: This is a Project Template, meaning it is built around defined deliverables, milestones, resource assignments, and progress tracking. It’s ideal for logistics teams managing complex supply chain initiatives such as new product launches, seasonal demand surges, or facility relocations.

Style/Version: The Employee View version of the template prioritizes clarity and ease of use from an individual contributor’s perspective. It presents only the data relevant to a specific employee—tasks assigned to them, deadlines, status updates, and progress tracking—while avoiding clutter from overarching management views.

Sheet Names and Their Functions

  1. Employee Dashboard: A personalized summary view showing assigned tasks, upcoming deadlines, workload balance (by day/week), and overall project progress. This is the first sheet users see upon opening the file.
  2. Task Assignment List: A master table listing all logistics-related tasks across the project. Each row represents a task with details such as owner (employee), due date, priority, status, and notes.
  3. Calendar View (Weekly): A weekly calendar format showing task deadlines and availability for each employee. Helps visualize workload distribution throughout the week.
  4. Progress Tracker: A summary of task completion rates by category (e.g., Transportation, Warehouse, Delivery) and individual performance metrics over time.
  5. Employee Profile: A static section containing personal details such as name, role, department, contact information, and assigned projects. Used for data linking across sheets.

Table Structures and Columns

1. Task Assignment List (Main Table):

  • Task ID: Text/Number – Unique identifier for each task (e.g., LOG-001).
  • Description: Text – Brief summary of the task (e.g., “Load truck 2 for shipment to Chicago”).
  • Employee Name: Text – Name of the assigned employee. Auto-filled from Employee Profile via data validation.
  • Project Phase: Text – Category such as "Procurement", "Transit", "Receiving", or "Final Delivery".
  • Due Date: Date – Deadline for the task, formatted as YYYY-MM-DD.
  • Status: List (Dropdown): Options include “Not Started”, “In Progress”, “On Hold”, “Completed”.
  • Priority: List (Dropdown): "Low", "Medium", "High", "Critical".
  • Estimated Effort (Hours): Number – Hours expected to complete the task.
  • Actual Effort (Hours): Number – To be filled by employee upon completion.
  • Notes: Text – Optional field for comments or updates from the employee.

2. Employee Dashboard Table:

  • Total Tasks Assigned: Formula-based count of tasks with the current employee's name in the Task Assignment List.
  • Tasks Due This Week: Formula counting rows where Due Date is within the current calendar week.
  • Completed Tasks (This Month): Count of tasks with status = “Completed” and due date this month.
  • Pending High-Priority Tasks: Count of tasks with Priority = "High" or "Critical" and Status ≠ "Completed".
  • Workload Trend (Last 4 Weeks): Bar chart embedded to show weekly task volume.

Formulas Required

The following formulas are used across sheets:

  • =COUNTIF(TaskAssignmentList[Employee Name], EmployeeProfile!$B$3): Counts total tasks assigned to the current employee.
  • =SUMIFS(TaskAssignmentList[Estimated Effort (Hours)], TaskAssignmentList[Employee Name], EmployeeProfile!$B$3, TaskAssignmentList[Status], "Completed"): Sums actual effort hours for completed tasks by employee.
  • =COUNTIFS(TaskAssignmentList[Due Date], ">="&TODAY(), TaskAssignmentList[Due Date], "<="&TODAY()+7, TaskAssignmentList[Employee Name], EmployeeProfile!$B$3): Counts tasks due in the next 7 days.
  • =IF(TaskAssignmentList[Due Date] < TODAY(), "Overdue", IF(TaskAssignmentList[Due Date] = TODAY(), "Due Today", "Upcoming")): Labels task time sensitivity.
  • =VLOOKUP(EmployeeName, EmployeeProfile!$A$2:$D$100, 2, FALSE): Pulls department or role information based on employee name.

Conditional Formatting Rules

To enhance visual clarity and highlight critical items:

  • Overdue Tasks: Red fill with white text for any task where Due Date < TODAY() and Status ≠ "Completed".
  • High/Critical Priority Tasks: Yellow background with bold red text.
  • Due Today: Blue background with dark blue font.
  • Status Changes: Green checkmark icon for "Completed", amber warning symbol for "On Hold".
  • Workload Heatmap (in Calendar View): Color scale based on number of tasks per day: red (5+ tasks), orange (3–4), yellow (1–2).
