Formulas Required

  • =SUMIFS(Bills!E:E, Bills!A:A, A2, Bills!D:D, "Approved") — Calculates total spent per campaign in Budget Allocation.
  • =Budget - SUMIF(Bills[Employee ID], [@Employee ID], Bills[Amount]) — Auto-updates remaining budget per employee.
  • =IF([@Amount]>[@[Budget Category Limit]], "OVER LIMIT", "") — Flags expenses exceeding category thresholds.
  • =TODAY()-[@Date] — Calculates days since expense was recorded to trigger reminders for submission.
  • =VLOOKUP([@Campaign Name], ReferenceData!A:B, 2, FALSE) — Pulls assigned budget category from Reference Data.

Conditional Formatting

  • Amount Over Budget: Red fill if expense exceeds remaining budget for its campaign.
  • Pending Approval: Yellow highlight for rows where “Approved?” = “No” and Date > 3 days ago.
  • Reimbursement Status: Green for "Reimbursed", Blue for "Approved", Gray for "Pending".
  • Overdue Submissions: Red text if status is “Pending” and date is older than 7 days.

Instructions for the User

  1. Log in daily and update new expenses under "Bills & Expenses". Always select Campaign Name from the drop-down to ensure correct budget allocation.
  2. Before submitting any expense, verify it aligns with your approved Marketing Plan objectives. Unapproved expenses will delay reimbursement.
  3. If you exceed 80% of your budget for a campaign, the dashboard will alert you—contact your manager before proceeding.
  4. Upload receipts via company portal and reference the receipt ID in the Description column (optional but recommended).
  5. Update “Status” to “Submitted” after uploading documentation. Change to “Approved” only if you are a manager reviewing submissions.
  6. Check the Employee Dashboard weekly to track your spending trend and ensure you remain on budget.
