Instructions for the User
1. Begin by setting up your marketing campaigns in the “Marketing Campaign Tracker” sheet, including budget and expected ROI.
2. Every day, record all marketing-related expenses (ads, tools, freelancer payments) and revenue (sales from tracked UTM links or promo codes) in the “Daily Cash Flow Log.”
3. Use dropdowns to select Channel and Type for consistency.
4. Update Status when a campaign is approved or rejected — this affects forecasting.
5. Review the Dashboard daily for cash flow trends, spending spikes, or underperforming channels.
6. Weekly, use the “Budget vs Actual Summary” to report to stakeholders and adjust future budgets.
7. If using Google Ads or Facebook Ads APIs (via Power Query), you may automate data import — but manual entry ensures accuracy for small teams.
Example Rows
Date Campaign ID Campaign Name Channel Description Amount Type Status Campaign Owner 05/04/2024 GGL-178 Easter Promo - Search Ads Google Ads Paid search clicks for Easter sale -189.50 Expense This example shows a daily expense of $189.50 on Google Ads for an Easter campaign, which is part of a larger marketing plan with a weekly budget of $1,200. If this is followed by $567 in sales attributed to this campaign (recorded as revenue), the ROI becomes 199% — justifying continued investment. Recommended Charts and Dashboards
The “Dashboard & Charts” sheet must include:
- Daily Cash Flow Trend Line Chart: Shows net daily cash flow over the last 30 days to identify spending patterns or revenue surges.
- Channel Efficiency Donut Chart: Displays % of total spend vs. % of total revenue per channel (e.g., “Social Media: 40% spent, 65% revenue”).
- Budget Burn Rate Gauge: Visual indicator showing daily spend as a percentage of monthly budget.
- Campaign ROI Heatmap: A matrix showing Campaign ID vs. ROI %, color-coded for quick scanning.
- Rolling 7-Day Cash Flow Summary Box: A large number with upward/downward arrow based on trend (uses conditional formatting + formula).
This template is not just a log — it’s a dynamic decision engine. By tracking marketing cash flow daily, businesses prevent overspending, identify winning channels rapidly, and pivot budgets within hours — not weeks. In fast-moving markets, this level of agility is the difference between growth and stagnation.
