Formulas Required

  • In the Campaign Tracker sheet: =IF([@Actual Spend]>0, ([@Leads Generated]/[@Actual Spend])*100,"N/A") to auto-calculate Conversion Rate.
  • In Client Summary: =COUNTIFS(CampaignTracker[Client ID], [@Client ID], CampaignTracker[Status],"Live") to show active campaigns per client.
  • In Budget & ROI sheet: =SUMIF(CampaignTracker[Client ID],[@Client ID],CampaignTracker[Budget Allocated]) for total budget per client.
  • To auto-populate last updated time: Use VBA or Excel's NOW() function with manual trigger (recommended for non-VBA users).

Conditional Formatting Rules

  • Budget & ROI Sheet: If Actual Spend > 90% of Budget → background turns orange.
  • Campaign Tracker: If Status = “Completed” and Conversion Rate > 8% → green highlight.
  • Client Summary: If Status = “Paused” → red text, if “Completed” → grayed out row.

User Instructions

How to Use This Template:

  1. Begin by entering all client information on the “Client Summary” sheet. Each client must have a unique Client ID.
  2. For each marketing campaign, add a row in “Campaign Tracker,” ensuring the Client ID matches an existing entry.
  3. Update actual spend, leads generated, and status weekly. The system automatically calculates conversion rates and budget alerts.
  4. Use dropdowns for consistency—never manually type values where a dropdown exists.
  5. The “Dashboards (Client View)” sheet auto-populates from the other sheets. This is the version you share with clients—no formulas or behind-the-scenes data visible.
  6. For feedback, use the “Feedback & Notes” sheet. Attach documents via hyperlink if needed.
  7. Do NOT edit protected sheets unless you have editing rights. Protecting these sheets prevents accidental deletion of formulas.

Recommended Charts and Dashboards (Client View)

The Dashboards (Client View) sheet is a clean, non-technical visual summary for clients. It includes:

  • Pie Chart: Distribution of Marketing Channel Spend (Social vs Email vs PPC).
  • Bar Chart: Monthly Lead Generation Trend for the last 6 months.
  • KPI Cards: “Total Campaigns Active,” “Avg. Conversion Rate,” “ROI Achieved ($).”
  • Summary Table: Top 3 Performing Campaigns by ROI—automatically pulled from data.

All charts are linked to the underlying sheets and update dynamically. Text is simplified: no jargon like “CTR” or “CPA”—use “Leads per $100 spent” instead. This ensures clients perceive value without confusion, reinforcing trust in your Client Management approach.

This template transforms raw data into client-centric storytelling—making it a vital tool for agencies and internal marketing teams focused on transparency, accountability, and measurable growth under the umbrella of a structured Marketing Plan. By combining robust functionality with an intuitive Client View, this Excel template sets the standard for professional client engagement in digital marketing.
