Each column uses appropriate Excel data types: text (Equipment ID, Name, Type), date (Purchase Date), currency (Cost $), and dropdown lists for Status and Location to ensure data integrity. The Equipment ID is auto-generated using a formula combining “EQ-” with a sequential number.
Key Formulas
- Age Calculation: =TODAY()-C4 (in column D) calculates equipment age in days.
- Cost-Per-Use: =E4 / COUNTIFS('Marketing Campaigns'!$G:$G, A4) divides total cost by number of campaigns using the item.
- Remaining Warranty: =DATE(YEAR(C4)+1,MONTH(C4),DAY(C4))-TODAY() computes warranty expiry days.
- Total Inventory Value: =SUM(E:E) dynamically updates in the Dashboard sheet.
Conditional Formatting
To enhance visual alerting, conditional formatting rules are applied:
- Red Fill: Equipment status = "Retired" or warranty expires in less than 30 days.
- Yellow Fill: Cost-per-use exceeds $150 (signaling underutilization).
- Green Fill: Status = "Active" and cost-per-use is below $50 (optimal usage).
Instructions for the User
- Begin by entering all current equipment in the “Equipment Inventory” sheet. Use dropdown arrows in Status and Location columns.
- Each time you launch a new campaign, record it in “Marketing Campaigns.” Link each campaign to one or more equipment items using the Equipment ID column.
- Update the “Maintenance Log” after servicing any item—this prevents unexpected downtime during critical client deadlines.
- Review the “Budget & ROI Summary” weekly: identify underused equipment and consider renting out or selling it to fund new purchases.
- The Dashboard updates automatically. Use it in client meetings to demonstrate asset management professionalism—showcasing you’re organized, cost-conscious, and strategic.
