    Formulas Required

    • Duration Calculation: =DATEDIF([@[Start Date]], [@[End Date]], "d") + 1
    • Quarter Auto-Population: =TEXT([@[Start Date]],"QQ")
    • Gantt Bar Start Offset: In the Main Gantt Chart sheet, use: =([@[Start Date]] - DATE(YEAR(TODAY()),1,1)) + 1 to determine position relative to Jan 1st.
    • Gantt Bar Length: =[@[Duration (Days)]]
    • Status Color Indicator: Use conditional formatting with formulas like: =[@Status]="Completed" to apply green fill.

    Conditional Formatting Rules

    • Task Bars (Gantt Chart): Use stacked bar charts where the start offset is visualized as a blank segment and duration as a colored bar. Apply color coding: Blue = Campaign, Green = Content, Orange = Event, Purple = SEO/SEM.
    • Status Highlight: Cells in the Status column turn green if "Completed", red if "On Hold", yellow for "In Progress".
    • Overdue Tasks: If today’s date exceeds the End Date and status is not “Completed”, the row turns light red with bold text.
    • Budget Alerts: Any task exceeding $10,000 highlights in dark orange to flag high-cost items.

    Instructions for the User

    To use this template:

    1. Open the “Task List” sheet and add all planned marketing activities for the year. Use dropdowns to ensure consistency.
    2. Ensure all Start and End Dates fall within the current calendar year (Jan 1 – Dec 31).
    3. Update Status regularly—this affects visual indicators in both Gantt and Dashboard sheets.
    4. The “Main Gantt Chart” updates automatically based on Task List entries. Do NOT edit charts directly; modify data in the Task List instead.
    5. Input actual budget spend under “Budget & Resources.” The template compares allocated vs. spent, generating variance alerts.
    6. Use the KPI Tracker to enter monthly results (e.g., click-through rate, conversion rate) linked to each campaign ID.
    7. The Dashboard sheet shows a summary of completed tasks per quarter, budget utilization %, and top-performing campaigns via pie/bar charts.

    Recommended Charts & Dashboards

    The “Dashboard” sheet features:

    • Annotated Gantt Chart (Stacked Bar): A visual timeline from January to December, with color-coded bars representing tasks. Hover tooltips show task names, owners, and status.
    • Budget Burn Rate Line Graph: Tracks cumulative spend vs. planned budget over 12 months.
    • Pie Chart: Campaign Type Distribution – Shows % of resources allocated to each campaign category (e.g., “Email Marketing = 25%, Events = 30%”).
    • KPI Summary Cards: Displays YoY growth in leads, CAC reduction, and ROI by quarter.
    • Status Overview: Donut chart showing % of tasks completed vs. pending.
