Table Structures & Columns (Employee Tasks Sheet)

The Employee Tasks sheet contains the following columns with defined data types:
  • Employee Name (Text): The full name of the assigned team member.
  • Task ID (Text/Number): Unique identifier linked to Task Master List (e.g., MKT-001).
  • Task Description (Text): Brief description of the marketing activity.
  • Category (Dropdown: Campaign, Social Media, Email, SEO, Events): Classifies the task type for reporting and filtering.
  • Start Date (Date): Planned start date of the task.
  • End Date (Date): Planned completion date of the task.
  • Status (Dropdown: Not Started, In Progress, On Hold, Completed): Real-time progress indicator.
  • Priority (Dropdown: Low, Medium, High): Determines visual weighting on Gantt chart and dashboard alerts.
  • Dependencies (Text - comma separated Task IDs): Links to other tasks that must be completed first.
  • % Complete (Number 0–100): Self-reported progress percentage.

Formulas Required

  • =DATEDIF([Start Date], [End Date], "d"): Calculates task duration for Gantt chart bar width.

Conditional Formatting Rules

  • Overdue Tasks: Red fill if End Date < TODAY() and Status ≠ "Completed".

  • % Complete Gradient: Color scale from red (0%) to green (100%) applied to the % Complete column.
  • Duplicate Task IDs: Highlight if Task ID appears more than once per employee, indicating potential duplication.

Instructions for the User

  1. Log in using your name as listed in the "Employee Name" column. Only assign tasks relevant to you.
  2. Select task types from the dropdown menus — do not type manually to preserve data integrity.
  3. Update "% Complete" every Friday or after major progress milestones.
  4. Do NOT modify cells in the "Gantt Chart" or "Dashboard" sheets directly — they are auto-generated.
  5. If you have dependencies, enter exact Task IDs from the Master List (e.g., MKT-005,MKT-012).
  6. Use the Dashboard sheet to monitor your personal workload and deadlines. Red indicators mean immediate action is required.
  7. Refresh all data by pressing F9 or clicking "Refresh Data" on the Dashboard tab if changes are not updating.
