Gantt Chart (Main) Sheet

This sheet dynamically generates a visual Gantt chart using conditional formatting and bar charts created from date ranges. It references the Tasks & Resources sheet.

  • Column A: Task ID (linked to Tasks & Resources)
  • Column B: Task Name (linked)
  • Columns C–Z: Represent daily dates across the campaign period.

Formulas Used:

  • =IF(AND(C$1 >= [Start Date], C$1 <= [End Date]), 1, 0) — This formula, applied across the date columns for each row, generates a binary value (1 = active day; 0 = inactive).
  • =IF([Status]="Completed", "green", IF([Status]="In Progress","orange","gray")) — Used in conditional formatting to color-code task bars.
  • Dependency checker: A VBA script or nested IF with SEARCH() validates if predecessor tasks are completed before the current task’s start date, triggering a warning if violated.

Conditional Formatting Rules (Gantt Sheet)

  • Task Bars: Cells with value = 1 are filled in green for “Not Started,” orange for “In Progress,” dark green for “Completed.”
  • Milestones: Tasks marked as Milestone (flag column) display a diamond shape via icon sets.
  • Budget Variance: If Actual Spend > Budget Allocation, the row’s Task Name cell turns red.
  • Missed Deadlines: If today’s date > End Date and Status ≠ “Completed,” the entire row highlights in red with a warning icon.

User Instructions

  1. Open the “Tasks & Resources” sheet and input all planned marketing activities. Use dropdowns for Status, Priority, and Owner to ensure consistency.
  2. Link predecessors using Task IDs (e.g., “MKT-001,MKT-003”). The system will automatically alert if dependencies are broken.
  3. Update “Actual Spend” weekly. The Budget & Spend Tracker sheet auto-calculates total spend vs. forecast and generates variance reports.
  4. Do not modify the date headers on the Gantt Chart sheet — they are dynamically generated from your Start/End Dates.
  5. To extend the timeline, copy-paste additional date columns (C-Z) to the right, then update formulas accordingly. The template supports up to 365 days.
  6. Check “Dashboards & KPIs” weekly for visual summaries: % of tasks completed, budget burn rate by channel, and critical path alerts.
