Table Structures and Column Definitions

|---|---|---|
| A: Task ID | Number (Integer) | Unique identifier for each task (e.g., 1, 2, 3...) |

| C: Category | Text (Dropdown) | Marketing channel: Social Media, Email, SEO, Events, Paid Ads, Content |
| D: Start Date | Date | |

| F: Duration (Days) | Number (Calculated) | |
| G: Responsible Person | Text | |
| H: Budget Allocated ($) | Currency | |
| I: Status | Text (Dropdown) | |
| J: Notes | Text |
Gantt Chart Timeline Sheet:
This sheet visualizes the timeline by using a stacked bar chart generated through conditional formatting. A horizontal header row contains daily dates from the first planned day to 90 days forward (adjustable). Each task is listed vertically on the left, with corresponding date columns filled via formulas.
- Column A: Task ID and Name (copied from Task List & Details)
- Columns B–Z: Daily dates (auto-populated using =START_DATE + COLUMN()-2)
- Conditional Formatting Rules: Applied to date columns to create a bar for each task. Formula:
=AND($D2<=B$1, B$1<=$E2), applied to range B3:Z50, with green fill (completed/in progress) and gray for future dates. - Today’s Line: A vertical line marker appears using a separate series in the chart (see Dashboard).
Formulas Required
- Duraton (F): =E2-D2+1 — calculates task duration in days.
- Gantt Bar Logic: In Gantt Chart Timeline, cell B3:
=AND(B$1>=INDIRECT("TaskList!D"&ROW()), B$1<=INDIRECT("TaskList!E"&ROW()))— returns TRUE if date falls within task period. - Total Budget: =SUM(H:H) in Budget & Resources sheet.
- Progress %: =COUNTIF(I:I,"Completed")/COUNTA(I:I)-1 — calculates percentage of completed tasks (excluding blanks).
- Status Color Sync: Formula-based conditional formatting on “Status” column: Green for "Completed", Red for "Delayed", Yellow for "In Progress".
Conditional Formatting Rules
- Gantt Bar Colors: Green fill if task is active or complete; light gray if future.
- Status Column: Color-coded by value (Green=Completed, Yellow=In Progress, Red=Delayed).
- Overdue Tasks: If End Date is past today and status ≠ “Completed”, row highlights in red.
- Budget Alerts: If actual spend exceeds budget in Budget & Resources sheet, cell turns orange with warning icon.
