Formulas Required

  • Duration (Days): =DAYS([@[End Date]], [@[Start Date]]) + 1
  • Gantt Chart Bar Calculation: In Gantt Chart View, each day column uses: =IF(AND([@Start Date] <= E$3, [@End Date] >= E$3), "█", ""), where E$3 is the date header. This creates a visual block for active days.
  • Progress % (for Dashboard): =COUNTIF(Staff[Status], "Completed") / COUNTA(Staff[Status]) * 100
  • Overdue Alert: In Status column conditional formatting: If End Date < TODAY() AND Status ≠ "Completed", highlight row red.

Conditional Formatting Rules

  • Red Row: Applies when task is past its end date and status isn't "Completed".
  • Green Highlight: Tasks marked "Completed" have entire row shaded green.
  • Purple Bar Background (Gantt Chart): Cells with "█" are filled purple to visually represent task duration.
  • Yellow for High Priority: Any row where Prioritization = "High" gets a light yellow background.

Instructions for the User

Step 1: Populate Marketing Tasks
Enter all planned marketing activities in the “Marketing Tasks” sheet. Use dropdowns for Department and Status to ensure consistency. Always input Start and End Dates using Excel’s date picker.

Step 2: Assign Team Members
Go to the “Team Assignments” sheet and list all team members with roles, emails, and availability. This enables dropdowns in the “Assigned To” column.

Step 3: Review Gantt Chart View
The “Gantt Chart View” auto-updates to show task bars by date. Use zoom controls for weekly/monthly views. Hover over cells to see task details via data validation tooltips.

Step 4: Update Weekly
Every Monday, update the Status column and adjust End Dates if needed. The Gantt Chart and Dashboard will reflect changes instantly.

Step 5: Collaborate & Share
Save to OneDrive or SharePoint. Use Excel’s “Share” button to allow team members to edit simultaneously. Set permissions so only managers can alter timelines, while team members update status only.
