Basic Marketing Plan Invoice Template for Excel

This Basic Marketing Plan Invoice Template is a streamlined, user-friendly Excel workbook designed to help small businesses, freelancers, and marketing agencies track and invoice clients for marketing services rendered under a structured marketing plan. Although it inherits the functional simplicity of a Basic template, it uniquely integrates core elements of a Marketing Plan — such as campaign objectives, target audiences, service deliverables, and performance metrics — with the financial precision required by an Invoicing system. This fusion ensures that every invoice is not merely a bill but a strategic document aligned with marketing goals and budgetary constraints.

Sheet Names

The template contains three clearly labeled worksheets:

  • Invoice_Data: The core transactional sheet where all invoice entries are recorded.
  • Marketing_Plan_Summary: A dashboard that summarizes campaign performance and service alignment with marketing goals.
  • Client_List: A reference table storing client contact details and historical billing data.

Table Structures & Column Definitions

Invoice_Data Sheet:

Name of marketing campaign (e.g., “Q3 Social Media Launch”)

Start date of service delivery.
End date of service delivery.
Total hours invested in the task, manually entered or calculated from time logs.
Billed rate per hour based on service tier or client contract.

Tax rate (e.g., 8.5%). Set via dropdown for consistency.

  • =G2*H2 → Subtotal calculation.
  • =I2*J2 → Tax_Amount.
  • =I2+K2 → Total_Invoice.
  • =VLOOKUP(B2,Client_List!$A$2:$D$100,4,FALSE) → Pulls client email from Client_List based on name.
  • =IF(TODAY()>F2+7,"Overdue",IF(M2="Paid","Paid","Pending")) → Dynamic Payment_Status logic.

Conditional Formatting

  • Total_Invoice > $5000: Green fill for high-value invoices.
  • Payment_Status = "Overdue": Red text with yellow background, bold font.
  • Payment_Status = "Paid": Light green background to signify closure.
  • KPI_Measured > Target: Arrow icon (up) next to metric if above plan goal (requires helper column).

User Instructions

  1. Populate the Client_List sheet first with client names, emails, and billing terms.
  2. For each invoice, select a client from the dropdown in Column B. The Campaign_Name and Marketing_Plan_Objective should reflect pre-approved marketing plan items.
  3. Enter hours worked (G) and rate (H). Subtotal (I), tax amount (K), and total (L) auto-calculate.
  4. Update Payment_Status manually after receiving payment. Use the drop-down list for consistency.
  5. Review the Marketing_Plan_Summary sheet to see how invoices align with KPIs and budgeted spend.
