Name of submitting employee from HR-approved list.

Tied to predefined Marketing Plan campaigns listed in Budget Allocation.
Type: Ads, Software, Travel, Printing, Influencer Fee, etc.
Detailed note on purpose of expense (e.g., “Instagram boosted post for Spring Sale”)
Name of supplier or service provider.
Total cost in USD with two decimal places.
Always set to “USD” for standardization.
Pulled from Budget Allocation sheet based on Campaign Name.
Dynamically calculated based on allocated vs. spent amounts.
Pending / Approved / Rejected / Paid.
Field for manager feedback or clarification requests.

Required Formulas

  • =SUMIFS(InvoiceLog[Invoice Amount], InvoiceLog[Campaign Name], [@Campaign Name]): Calculates total spent per campaign in the Budget Allocation sheet.
  • =BudgetAllocation[Allocated] - SUMIFS(...): Auto-calculates Remaining Budget for each campaign.
  • =TODAY(): Populates Date Submitted automatically if user leaves field blank (optional).
  • =IF([@Status]="Approved", [@Invoice Amount], 0): Used in Summary Dashboard to sum only approved expenses.

Conditional Formatting

  • Rows with Status = "Rejected" → Red background with white text.
  • Remaining Budget ≤ 10% of allocated → Yellow highlight on the Remaining Budget column.
  • Remaining Budget ≤ 0 → Red background and bold text to signal overspending.
  • Duplicate Invoice IDs (via formula check) → Flashing border animation (using VBA if supported).

User Instructions

How to Use This Template:
1. Open the “Employee Guidelines” sheet and read all instructions before submission.
2. Only fill out the “Invoice Log” sheet. Do not edit Budget Allocation unless authorized.
3. Use dropdowns for Employee Name, Campaign Name, Expense Type, and Status — manual entries will be rejected.
4. Attach digital receipts to the same folder as this file (named: [Invoice ID]_Receipt.pdf).
5. Submit by changing Status to “Pending” and emailing your manager a copy of the file.
6. Do not delete rows or modify formulas — doing so may break automated summaries.
7. Update Status to “Paid” only after finance confirms payment.
