FORMULAS REQUIRED
- Total Spend: =SUM(Invoices[Amount]) — sums all invoice amounts dynamically as rows are added.
- Budget Variance: In Budget vs Actuals sheet: =Budgeted - SUMIFS(Invoices[Amount], Invoices[Category], [@Category]) — calculates difference between planned and actual spend per category.
- Cost Per Lead (CPL): =IF([@[Actual Leads]]>0, [@[Amount]]/[@[Actual Leads]], "N/A") — computes efficiency of spend per lead generated.
- ROI Estimation: =IFERROR(([@[Actual Leads]] * Average Conversion Value) - [@[Amount]], 0) — estimates profit contribution (requires user to define average customer value in settings).
- Invoice ID Auto-Generator: “MKT-”&YEAR(TODAY())&“-”&TEXT(ROW()-1,”000”) — ensures sequential numbering.
CONDITIONAL FORMATTING
- Status = Overdue: Red background if date + 30 days has passed and status is “Pending” (formula: =AND([@Status]="Pending", TODAY()>[@Date]+30))
- Amount > Budget: Yellow fill for any expense exceeding allocated budget per category.
- CPL below $50: Green highlight to flag cost-efficient campaigns.
- Invoices from new vendors: Blue border if vendor name not found in previous entries (uses COUNTIF with a helper column).
USER INSTRUCTIONS
- Set your marketing budget first: Go to the Budget vs Actuals sheet and enter monthly or quarterly targets per category.
- Log every invoice immediately: After paying for a service (e.g., Facebook Ads), fill in all columns — especially Campaign Name and Expected Leads.
- Update Actual Leads weekly: Link this to your CRM or analytics platform (Google Analytics, Mailchimp, etc.).
- Review ROI Dashboard weekly: The dashboard updates dynamically; look for underperforming channels and reallocate budget accordingly.
- Use the dropdowns: Never type free text in Category or Marketing Channel — ensure consistency for reporting.
- Delete sample data: Before use, clear rows 2–5 on the Invoices & Expenses sheet (they are examples).
- Save as template: Once configured, save as .xltx to reuse for future campaigns.
