Table Structures and Columns (Maintenance Log Sheet)
The central table in the Maintenance Log sheet contains the following structured columns with defined data types:| Column Name | Data Type | Description |
|---|---|---|
| Date | Date (MM/DD/YYYY) | Day when activity occurred. |
| Campaign ID | Text (e.g., CAM-2024-001) | Unique identifier for each marketing campaign. |
| Campaign Name | Text | |
| Action Type | List (Dropdown: Launch, Adjust, Pause, Restart, Optimize) | Type of maintenance action performed. |
| Channel | List (Dropdown: Email, Social Media, Paid Ads, SEO, Events) | Marketing channel the activity affected. |
| Budget Impact ($) | Currency | Negative or positive change to allocated budget (e.g., -$500 for ad pause). |
| ROI Change (%) | Percentage | Estimated impact on return on investment. |
| Status | List (Dropdown: Active, On Hold, Completed, Failed) | |
| Team Member | Text | |
| Next Review Date | Date (MM/DD/YYYY) | |
| Notes for Report | Memo/Long Text |
Formulas Required
- In the Marketing Plan Overview, use
SUMIFS()to total budget changes and ROI impact from the Maintenance Log by Campaign ID. COUNTIFS()formulas track how many times each campaign has been adjusted or paused.- A dynamic date formula in the Report Export sheet auto-generates: “Report Generated on: [TODAY()]”
IF()statements conditionally flag campaigns with >10% ROI drop as “At Risk” in the Status column of Overview.- VLOOKUP or XLOOKUP pulls campaign names and owners from a master list to auto-fill data upon entering Campaign ID.
Conditional Formatting
- Highlight rows where Status = "Failed" in red with white text.
- If Budget Impact ($) is less than -$1,000, highlight the cell in dark orange to signal significant overspend or cut.
- Campaigns with a “Next Review Date” within 3 days are highlighted in yellow for urgent follow-up.
- Positive ROI changes (>5%) are colored green to incentivize optimization efforts.
Instructions for the User
How to Use This Template:1. Start by entering your Marketing Plan Overview: Define campaign goals, target audience, channels, and initial budget allocation.
2. Each time a campaign is adjusted (e.g., paused ads due to low CTR), log the activity in the Maintenance Log with full context.
3. Use dropdowns for consistency—do not type free-form entries where lists are provided.
4. The Performance Dashboard auto-updates daily based on new log entries. Review weekly and adjust strategy accordingly.
5. On the last day of each month, copy the Maintenance Log into Historical Archive and clear current data for next month’s cycle (retain formulas!).
6. Generate your Report Export sheet to create a clean, professional PDF for stakeholders—no manual formatting required.
