Table Structures & Column Definitions (Main Timeline)
The Main Timeline sheet contains a single structured table with the following columns: | Column Name | Data Type | Description | |-------------|-----------|-------------| | Task ID | Number (Integer) | Unique identifier for each marketing activity (e.g., 1, 2, 3…) | | Task Name | Text (String) | Brief description of the task (e.g., “Launch Instagram Campaign”) | | Category | Text (Dropdown) | Campaign type: Social Media, Email, SEO, Paid Ads, Content Creation | | Start Date | Date (DD/MM/YYYY) | Planned start date of the activity | | End Date | Date (DD/MM/YYYY) | Planned end date; auto-calculated based on duration if needed | | Duration (Days) | Number (Integer) | Calculated: =End Date - Start Date + 1 | | Assigned To | Text (Dropdown) | Team member or department responsible | | Priority | Text (Dropdown: High, Medium, Low) | Determines visual urgency in dashboard | | Status | Text (Dropdown: Not Started, In Progress, Completed, Delayed) | Manual update; triggers conditional formatting | | Dependencies | Text (Comma-separated Task IDs) | e.g., “2,5” meaning this task depends on tasks 2 and 5 | | Budget Allocated ($) | Currency | Amount assigned from Resource Allocation sheet using VLOOKUP | | Actual Spend ($) | Currency (Optional) | Manual entry for post-execution tracking | | % Complete | Number (0–100%) | User-input percentage; drives progress bar visualization |Formulas Required

=IFERROR(VLOOKUP([@Task ID], ResourceAllocation!$A:$C, 3, FALSE), 0)(links to Resource Allocation sheet) - Progress Bar (Conditional Formatting): Uses data bars based on % Complete column
- Due Date Warning:
=IF(AND([@[End Date]]"Completed"), "DELAYED", "") - Total Budget Summary:
=SUM(MainTimeline[Budget Allocated($)])(placed in Status Dashboard) - Tasks Completed:
=COUNTIF(MainTimeline[Status], "Completed")
Conditional Formatting Rules
- Status Column: Green for “Completed”, Yellow for “In Progress”, Red for “Delayed”, Gray for “Not Started”.
- Priorities: High = red text, Medium = orange text, Low = blue text.
- Date Overdue: Any row where End Date is past today and Status ≠ Completed → entire row highlighted in light red (#f8d7da).
- % Complete Bar: Data bars applied to the % Complete column for instant visual progress tracking.
User Instructions
Begin by entering your marketing campaign tasks into the Main Timeline table. Use dropdown arrows in Category, Assigned To, Priority, and Status columns to ensure consistency. Link each task’s budget via the Resource Allocation sheet — do not edit Budget Allocated ($) directly in Main Timeline. Update % Complete daily or weekly for accurate progress reporting. If a task is blocked by another (e.g., content must be approved before publishing), list the dependent Task ID in the Dependencies column — this helps identify bottlenecks. The Status Dashboard automatically updates as you make changes; refresh it by pressing F9 if not auto-updating. Save your template monthly and archive old versions using a filename like “MarketingPlan_2024_Q3_Compact.xlsx”.
