| Budget Allocated ($) | Currency | Funds assigned to complete the task. td> |
| Budget Spent ($) | Currency | Actual spend recorded manually or via integration. td> |

Key Formulas
- In “Duration” column:
=IF(AND([@Start Date]<>"", [@End Date]<>""), ([@End Date]-[@Start Date]+1), "") - In “% Complete” auto-calculated based on status:
- If Status = “Not Started” → 0%
- If Status = “In Progress” → User-input %
- If Status = “Completed” → 100%
- In Main Timeline: Conditional Gantt bars using formulas that compare dates and render horizontal bar charts via stacked column charts with dummy series.
- Budget Variance:
=[@[Budget Allocated]]-[@[Budget Spent]]
Conditional Formatting Rules
- Red fill: Tasks past their End Date with Status ≠ “Completed”.
- Yellow fill: Tasks with Status = “Blocked” or % Complete < 50% within last 3 days of duration.
- Green fill: Completed tasks and tasks ahead of schedule (End Date in future, % Complete >80%).
- Bold text: Tasks with Priority = “High”.
User Instructions
How to Use This Template:
- Set your campaign dates: Update the “Start Date” and “End Date” of the overall marketing plan in cell B1 (Main Timeline sheet).
- Add tasks: In the Task Registry sheet, use dropdowns to assign category, owner, priority. Populate start/end dates.
- Link dependencies: Enter IDs of predecessor tasks in the “Dependencies” column (e.g., “2,5”). The Main Timeline will auto-adjust sequencing.
- Update progress: Every Monday and Friday, all owners update Status and % Complete. Budget Spent should be updated weekly by finance liaisons.
- Monitor KPI Dashboard: Charts update automatically as task data changes. Use filters to view performance by category or owner.
- Log risks: If a task is delayed, record the reason and mitigation plan in the Risk Log sheet. This triggers a warning on the dashboard.
Example Rows from Task Registry

| 2 | Publish Paid Social Ads (Meta, LinkedIn) | ||||
| 3 | Schedule Weekly Email Newsletter Series | 04/18/2024 | 05/15/2024 |
