Conditional Formatting Rules

  • Red fill: Tasks past their End Date with Status ≠ “Completed”.
  • Yellow fill: Tasks with Status = “Blocked” or % Complete < 50% within last 3 days of duration.
  • Green fill: Completed tasks and tasks ahead of schedule (End Date in future, % Complete >80%).
  • Bold text: Tasks with Priority = “High”.

User Instructions

How to Use This Template:

  1. Set your campaign dates: Update the “Start Date” and “End Date” of the overall marketing plan in cell B1 (Main Timeline sheet).
  2. Add tasks: In the Task Registry sheet, use dropdowns to assign category, owner, priority. Populate start/end dates.
  3. Link dependencies: Enter IDs of predecessor tasks in the “Dependencies” column (e.g., “2,5”). The Main Timeline will auto-adjust sequencing.
  4. Update progress: Every Monday and Friday, all owners update Status and % Complete. Budget Spent should be updated weekly by finance liaisons.
  5. Monitor KPI Dashboard: Charts update automatically as task data changes. Use filters to view performance by category or owner.
  6. Log risks: If a task is delayed, record the reason and mitigation plan in the Risk Log sheet. This triggers a warning on the dashboard.
