Marketing Plan Task Manager - Employee View Excel Template

This Excel template is a purpose-built Task Manager designed specifically for the Employee View within a larger Marketing Plan. Unlike manager-centric dashboards, this version empowers individual contributors to track their own responsibilities, deadlines, progress, and dependencies in real time. Designed for clarity and ease of use, it transforms complex marketing campaigns into actionable daily tasks tailored to the employee’s role — whether they are a content creator, social media coordinator, SEO specialist, or campaign analyst.

Sheet Names

  • Task List – Core repository of all assigned tasks with detailed attributes and status tracking.
  • Project Timeline – Gantt-style visual overview of task durations aligned to campaign milestones.
  • Status Dashboard – Interactive summary dashboard with KPIs, progress percentages, and overdue alerts.
  • Help & Instructions – Step-by-step guide for using the template, including formulas and formatting notes.

The Task List sheet contains a structured table with the following columns:

E.g., Content, Paid Ads, Analytics, Design. Helps filter by function.
Campaign stage: Research → Planning → Execution → Analysis.
Planned start date for the task.

Key Formulas Required

  • =TEXT(TODAY(),"yyyy") & "-" & ROW()-1 – Auto-generates Task ID based on row number and current year (adjusted for header row).
  • =IF(TODAY()>[Due Date], IF([Status]<>"Completed","OVERDUE",""), "") – Flags overdue tasks.
  • =COUNTIFS([Assigned To],[@[Assigned To]], [Status],"Completed")/COUNTIFS([Assigned To],[@[Assigned To]]) – Calculates individual completion rate per employee.
  • =DATEDIF([Start Date],[Due Date],"d") – Calculates task duration in days for Gantt chart calculations.
  • =IF(AND([% Complete]>0,[% Complete]<100),"In Progress", IF([% Complete]=100,"Completed","Not Started")) – Auto-updates Status based on % complete (optional automation).

Conditional Formatting Rules

  • Status = “Overdue”: Row background → Red (#f8d7da); text → Dark red.
  • Status = “Completed”: Row background → Light green (#d4edda); strikethrough on Title.

  • % Complete < 25% and Due Date in < 3 days: Orange highlight to signal urgency.

Instructions for the User

How to Use This Template:

  1. Open the template and navigate to the “Task List” sheet. Your name is pre-filled in the “Assigned To” column based on your user profile or file access.
  2. Update your tasks daily: Fill in % Complete, add Notes if you’re blocked, and change Status as work progresses.
  3. Use the drop-down menus to select Department, Project Phase, Priority, and Status — do not type manually.
  4. Check the “Status Dashboard” weekly for your personal completion rate and overdue tasks. This sheet updates automatically as you edit Task List.
  5. If you’re dependent on another task, update the Dependencies field with the correct Task ID. The system will flag if dependencies are not completed.
  6. Do NOT delete or reorder rows — use filter functions instead to sort or view your tasks only.
