Detailed Marketing Plan Time Tracker Excel Template

This comprehensive Detailed Marketing Plan Time Tracker Excel template is purpose-built for marketing professionals, campaign managers, and agency teams who need granular visibility into how time is allocated across marketing initiatives. Designed as a hybrid of strategic planning and operational tracking, this template seamlessly merges the high-level goals of a Marketing Plan with the precision of a Time Tracker, offering a Detailed, audit-ready framework to measure productivity, optimize resource allocation, and justify budget expenditures.

SHEET NAMES

The workbook contains five interconnected sheets:

  • Marketing_Plan_Overview – Central dashboard summarizing campaign goals, KPIs, timelines, and total time investment.
  • Time_Tracker_Log – Core data entry sheet recording daily or hourly activities with full context.
  • Campaign_Calendar – Gantt-style timeline visualizing campaign milestones and associated time buckets.
  • Budget_vs_Time_Analysis – Comparative analysis linking allocated budget to consumed labor hours.
  • Reports_Dashboard – Automated charts and summary metrics derived from the Time_Tracker_Log.

TABLE STRUCTURES & COLUMNS

The Time_Tracker_Log sheet is the heart of the template, structured as a dynamic table named “TimeEntries” with the following columns:

Preset categories: Content Creation, Social Media Management, Paid Ads, SEO/SEM, Analytics Reporting, Meetings & Planning, Design & Graphics.
Text (Dropdown)
Preset: Pending, In Progress, Completed, On Hold.

DateDate (dd/mm/yyyy)Actual date the activity occurred.
Campaign_NameTextName of marketing campaign (e.g., “Q3 Email Campaign – Product X”). Must match entries in Marketing_Plan_Overview.
Task_Category
Task_DescriptionTextDetailed description of activity performed (e.g., “Wrote 3 LinkedIn posts for Product X launch”).

Team_MemberTextName of the person performing the task.
Status
Related_KPIText/LinkOptional reference to target KPI from Marketing_Plan_Overview (e.g., “CTR Target: 5%”).
NotesText (Multiline)Add context: tools used, blockers, outcomes.

The Marketing_Plan_Overview sheet includes structured tables defining:

  • Campaign ID (Text)
  • Campaign Name (Text)
  • Start_Date & End_Date (Date)
  • Total_Budget ($) – Allocated currency value.
  • Target_KPIs (e.g., Leads Generated, CTR%, ROAS) – Numeric values
  • Planned_Hours – Estimated total hours allocated to campaign.

FORMULAS REQUIRED

  • In Time_Tracker_Log: Column “Hours_Spent” uses no formula — user inputs. But “Total Hours per Campaign” in Marketing_Plan_Overview uses: =SUMIFS(TimeEntries[Hours_Spent], TimeEntries[Campaign_Name], [@[Campaign_Name]])
  • In Marketing_Plan_Overview: “% of Planned Hours Used” = =[@[Total_Hours_Spent]] / [@Planned_Hours] formatted as percentage.
  • In Budget_vs_Time_Analysis: “Cost per Hour” = =[@[Total_Budget]] / [@[Planned_Hours]], and “Actual Cost Incurred” = =[@[Total_Hours_Spent]] * [Cost_per_Hour].
  • In Reports_Dashboard: Dynamic named ranges using INDEX/MATCH to auto-populate charts based on selected campaign from a dropdown.

CONDITIONAL FORMATTING

  • If “% of Planned Hours Used” > 110%, row highlights in red (over budget).
  • If “Status” = “On Hold”, entire row turns yellow for visual urgency.
  • “Hours_Spent” > 8 in a single day → orange fill (potential burnout flag).
  • “Related_KPI” is empty → light gray text to prompt user input.

USER INSTRUCTIONS

  1. Setup: Before use, populate the “Marketing_Plan_Overview” sheet with all active campaigns, dates, budgets, and planned hours.
  2. Daily Entry: Each team member must log their time daily in “Time_Tracker_Log,” selecting from dropdowns to ensure data consistency.
  3. Weekly Review: Every Friday, review the “Reports_Dashboard” for time allocation trends and budget variance. Use filters to isolate campaigns or team members.
  4. Adjustments: If actual hours consistently exceed planned hours, update the “Planned_Hours” in Marketing_Plan_Overview — this recalculates all benchmarks.
  5. Export: Use the “Reports_Dashboard” to generate PDFs for stakeholder meetings or integrate with Power BI for enterprise reporting.

RECOMMENDED CHARTS & DASHBOARDS

The “Reports_Dashboard” sheet includes:

  • Stacked Bar Chart: Shows hours spent per campaign by task category — reveals where time is concentrated (e.g., too much on design, not enough on analytics).
  • Line Graph: Daily hours logged over the campaign period to detect peaks and valleys.
  • Donut Chart: % distribution of total hours across task categories — identifies team skill gaps.
  • Data Bar Gauge: Visual indicator for each campaign showing “Planned vs Actual Hours” as a horizontal bar.
  • Table Summary: Top 5 tasks by time spent, with cost implications derived from budget/hour ratios.
