Small Business Marketing Plan Time Tracker Excel Template

This comprehensive Excel template is specifically designed for Small Business owners and marketing teams who need to efficiently track time spent on marketing initiatives while aligning activities with a structured Marketing Plan. As a dedicated Time Tracker, this tool empowers small enterprises—often operating with lean budgets and limited personnel—to measure the ROI of their marketing efforts by linking hours invested to specific campaigns, channels, and goals. The template integrates scheduling, budget tracking, activity logging, and performance analytics into one cohesive system that eliminates the need for multiple disconnected tools.

Sheet Structure

The template consists of four carefully designed sheets:

  • Marketing Plan Overview: High-level summary of marketing goals, budget allocation, and key performance indicators (KPIs).
  • Time Tracker Log: The core data entry sheet where team members record daily marketing activities with time logs.
  • Campaign Budget & ROI: Tracks expenses versus revenue generated per campaign, including cost-per-acquisition and return-on-ad-spend calculations.
  • Dashboards & Charts: A visual summary of time allocation, campaign efficiency, and goal progress using interactive charts.

Table Structures & Columns

Time Tracker Log Sheet:

All date entries use Excel’s built-in date format (YYYY-MM-DD). Team Member and Campaign Name use drop-down lists for consistency. Activity Type is a predefined list including: Content Creation, Ad Management, Email Outreach, Social Media Posting, Event Planning, Analytics Reporting, Design Work. Hours Spent are numeric (decimal), with validation to prevent negative or excessive values (>8 hrs/day).

Formulas

  • In the Time Tracker Log, a calculated column “Daily Total Hours” sums all hours per day using: =SUMIF(A:A,A2,E:E)
  • On the Campaign Budget & ROI sheet, total campaign cost is calculated by summing expenses and multiplying hours spent by an hourly rate (e.g., $35/hr): =SUMIFS(ExpensesRange,CampaignColumn,SelectedCampaign) + SUMIFS(HoursSpent,CampaignColumn,SelectedCampaign)*HourlyRate
  • ROI formula: =(Revenue - TotalCost)/TotalCost
  • Average hours per activity type using: =AVERAGEIF(ActivityRange,"Content Creation",HoursRange)

Conditional Formatting

To enhance usability:

  • Hours > 6 in the Time Tracker Log are highlighted in red to alert managers of potential burnout or over-allocation.
  • Campaigns with ROI below 100% are shaded light orange on the Budget & ROI sheet.
  • Status column uses color indicators: Green for "Completed", Yellow for "Active", Gray for "Paused".
  • Rows where Date is older than 30 days are faded to improve focus on current activities.

User Instructions

  1. Start by filling in the Marketing Plan Overview sheet with your quarterly goals (e.g., “Gain 100 new leads via email campaign”), budget allocation ($5,000), and target KPIs (conversion rate, click-through rate).
  2. Select team members from the drop-down lists and log time daily—ideally at day’s end.
  3. Link each activity to a specific campaign listed in the Overview sheet. Use consistent naming.
  4. Update budget expenses in Campaign Budget & ROI as invoices are paid or ad spends occur.
  5. Review Dashboards & Charts weekly: Identify which activities consume the most time and yield least results. Adjust accordingly.
  6. At month-end, use the template’s built-in summary table to compare planned vs actual hours spent per channel to refine next month’s plan.

Recommended Charts & Dashboards

The “Dashboards & Charts” sheet features:

  • Donut Chart: Shows percentage of total time spent across Activity Types.
  • Stacked Column Chart: Compares monthly hours per campaign versus budgeted hours.
  • Line Graph: Tracks ROI trend over 6 months for top campaigns.
  • Data Bars: Visualize total cost and revenue per campaign side-by-side.

All charts auto-update when new data is entered. A toggle button allows users to switch views between Weekly/Monthly/Quarterly summaries, enabling agile adjustments typical in Small Business marketing cycles.
