Simple Marketing Plan To-Do List Excel Template

This Simple Marketing Plan To-Do List Excel Template is designed for small businesses, marketing teams, and freelance marketers who need a clean, no-frills tool to track execution tasks within a broader marketing strategy. Unlike complex project management systems or overburdened dashboards, this template embraces simplicity — focusing on clarity, actionability, and ease of use. It transforms the abstract goals of a Marketing Plan into concrete daily or weekly tasks with clear ownership and deadlines. The To-Do List structure ensures no critical activity is overlooked while keeping the interface intuitive for users who may not be Excel experts.

Sheet Names

The template contains only two sheets to maintain simplicity:

  • Tasks: The core worksheet where all marketing activities are listed, tracked, and updated.
  • Dashboard: A visual summary sheet with a live count of tasks by status and due dates — no complex charts, just essential snapshots.

Table Structure & Columns

The Tasks sheet uses a single table (formatted as an Excel Table named “MarketingTasks”) with seven columns:

Column Name Data Type Description
ID Number (Auto-increment) A unique sequential number assigned to each task for reference. Populated automatically via formula.
Task Name Text A clear, action-oriented description of the marketing activity (e.g., “Design Instagram Carousel Ad”)
Category Text (Dropdown) Categorizes tasks: Social Media, Email Campaign, Content Creation, Paid Ads, SEO, Events. Dropdown list ensures consistency.
Assignee Text Name of the person responsible for completing the task (e.g., “Sarah M.”)
Due Date Date The deadline for completion. Used for conditional formatting and prioritization.
Status Text (Dropdown)
Options: Not Started, In Progress, Completed, Delayed. Dropdown ensures clean data entry.
Notes Text (Multi-line)
Purpose for additional context — links, files, or comments. Optional field.

Formulas Required

  • ID: In cell A2: =ROW()-1 (assuming headers in row 1). This auto-increments for each new task row.
  • Status Count: On the Dashboard sheet, use =COUNTIF(Tasks[Status],"Completed"), and similar formulas for other statuses to dynamically count tasks.
  • Due Dates Overview: Use =COUNTIFS(Tasks[Due Date],">="&TODAY(),Tasks[Due Date],"<="&TODAY()+7,Tasks[Status],"<>Completed") to show how many tasks are due in the next 7 days.
  • Task Count by Category: On Dashboard: =COUNTIF(Tasks[Category],"Social Media"), repeated per category.

Conditional Formatting Rules

  • Status = "Delayed": Apply red fill to the entire row if Due Date is past today AND Status is not “Completed”.
  • Due Date within 3 days: Apply yellow fill to the Due Date cell if date equals or is within 3 days from today and status ≠ Completed.
  • Status = "Completed": Apply a light green fill to the entire row for visual closure and progress recognition.

User Instructions

To use this template:

  1. Open the Excel file. All formulas and dropdowns are pre-configured.
  2. In the “Tasks” sheet, begin adding your marketing tasks under “Task Name.” Use dropdowns for Category and Status to avoid typos.
  3. Assign each task to a team member or yourself in the “Assignee” column.
  4. Set realistic deadlines in the “Due Date” column. The conditional formatting will highlight overdue or imminent tasks automatically.
  5. Update the “Status” field as you complete tasks — this updates the Dashboard live.
  6. Check the “Dashboard” sheet daily for a quick summary: total tasks, completed vs. pending, and upcoming deadlines.
  7. Add notes if needed (e.g., “Use updated logo from Brand Kit”), but keep it brief to maintain simplicity.
  8. At the end of each week, filter by Status = “Completed” to review progress and adjust your Marketing Plan accordingly.

Recommended Charts or Dashboards

The “Dashboard” sheet includes a minimalist, data-driven summary:

  • A bar chart showing number of tasks per status (Not Started, In Progress, Completed) — simple vertical bars.
  • A pie chart displaying task distribution by category (Social Media, Email, etc.).
  • Two summary boxes: “Tasks Due in 7 Days” and “Total Tasks Completed This Month.”
  • Use only Excel’s built-in charts — no add-ins. Colors follow a professional palette: green for completed, yellow for upcoming, red for delayed.

This template is intentionally simple — no macros, no VBA, no complex pivot tables. It respects the time and technical skill of users who need to focus on execution rather than software mechanics. Whether you’re managing your first marketing campaign or refining quarterly strategies, this Simple Marketing Plan To-Do List turns intention into action.
