Office Management Client Management Excel Template – Template Version

Purpose: This Excel template is specifically designed for Office Management, with a primary focus on efficient and organized Client Management. Tailored for small to medium-sized professional services firms, administrative offices, legal practices, consulting agencies, or any organization that maintains direct relationships with clients. The Template Version ensures consistency across operations by standardizing how client data is collected, tracked, and analyzed.

Sheet Names & Structure

The template consists of four main worksheets:
  1. Client Master List: Central repository for all client profiles.
  2. Communication Log: Tracks every interaction with clients (emails, calls, meetings).
  3. Project Timeline & Billing: Manages ongoing projects, milestones, deadlines, and invoice tracking.
  4. Dashboards & Analytics: Visual summary of client performance, activity levels, revenue trends.

Table Structures and Columns (Client Master List)

The Client Master List is the core table. It uses structured Excel tables with built-in filters for ease of management. | Column Name | Data Type | Description | |-------------|-----------|------------| | Client ID | Text (Auto-generated) | Unique identifier (e.g., CLT-001, CLT-002) | | Company Name | Text | Full legal or business name of client | | Contact Person(s) | Text (comma-separated) | Primary contact names | | Email Address(es) | Text (valid email format check applied via data validation) | Professional email addresses | | Phone Number(s) | Text with formatting rule (e.g., +1-555-123-4567) | Optional: mobile, office line | | Industry Sector | List (drop-down menu: Legal, IT, Healthcare, Education, Finance etc.) | Categorization for analytics | | Client Status | Drop-down list: Active / On Hold / Inactive / Contract Ended | Tracks current relationship stage | | Start Date (Relationship) | Date format (e.g., 2024-01-15) | When the client relationship began | | Assigned Manager(s) | Text (multi-select via name list or dropdown from employee list in Dashboard sheet) | Responsibility tracking | | Billing Frequency | Drop-down: Monthly / Quarterly / Annually / One-Time | For recurring revenue forecasting | | Service Tier (Plan Level) | Drop-down: Basic, Standard, Premium, Enterprise | Helps determine pricing and support level | | Total Lifetime Value (TLV) | Currency formula field (auto-calculated from Project Timeline sheet) | Cumulative revenue from client | | Last Contact Date | Date format with conditional highlight for inactivity (>60 days) | For follow-up tracking |

Formulas Required

- Total Lifetime Value (TLV): `=SUMIFS('Project Timeline & Billing'!$G:$G, 'Project Timeline & Billing'!$B:$B, [@Client ID])` This formula pulls all invoice amounts from the Project Timeline sheet where the Client ID matches. - Days Since Last Contact: (in Communication Log or Client Master List) `=TODAY()-[Last Contact Date]` — used for tracking engagement frequency. - Client Status Based on Inactivity: `=IF([Days Since Last Contact]>60, "On Hold", [Client Status])` — automated flagging system.

Conditional Formatting

- **Red Highlight (Cell Color)**: If “Last Contact Date” is older than 60 days → alerts the office manager. - **Green Highlight**: Clients with TLV above $50,000 → high-value clients. - **Yellow Background**: Client Status = “On Hold” → requires review. - **Data Bars (in TLV column)**: Visualize top-tier clients at a glance.
