Formulas Used

The template leverages several Excel formulas to automate data processing and improve usability:
  • Auto-Generated Asset ID: =TEXT(TODAY(),"YYMM") & "-" & TEXT(ROW()-1,"0000") (based on row number and current date).
  • Next Service Due: =IF([@Status]="Under Maintenance", "", DATE(YEAR([@Last Service Date]), MONTH([@Last Service Date]) + 6, DAY([@Last Service Date])))
  • Days Until Next Service: =DATEDIF(TODAY(),[@[Next Service Due]],"d")
  • Warranty Status: =IF([@[Warranty Expiry Date]]
  • Total Assets by Department: Used in the Location Overview sheet via SUMIFS().
  • Average Purchase Cost per Type: Calculated using AVERAGEIF() across the table.

Conditional Formatting Rules

To enhance visual clarity and highlight critical items, the template applies dynamic conditional formatting:
  • Warranty Expiry Alerts: Red fill with white text for rows where Warranty Expiry Date is within 30 days.
  • Service Due Soon: Orange highlight for entries where “Days Until Next Service” is ≤ 14 days.
  • Status Color Coding:
    • In Use → Green
    • Idle → Yellow
    • Under Maintenance → Red
    • Decommissioned → Gray (darkened)
  • Highest Cost Items: Applies a gradient fill to the "Purchase Cost" column, highlighting top 10% of assets.
