Formulas Required for Automation and Accuracy
To enhance functionality, the following formulas are applied:
- Auto-Entry ID:
=TEXT(TODAY(),"yyyymmdd")&"-"&COUNTA(A:A), ensuring unique, timestamp-based IDs. - Completion Date Auto-Fill: An IF formula checks if Status = "Completed", then populates the Date Completed field:
=IF([@Status]="Completed", TODAY(), ""). - Prioritize Based on Urgency: Uses conditional logic to flag high-priority entries using color coding.
- Cost Summary by Month: SUMIFS formula across the Maintenance Log to aggregate spending per month or department.
- Categorization from Asset Register: VLOOKUP or XLOOKUP pulls asset details based on Asset ID (e.g., Warranty Expiry).
Conditional Formatting Rules
To improve readability and draw attention to critical items, the following formatting rules are implemented:
- Priority Level: Red for "Critical", Orange for "High", Yellow for "Medium", Green for "Low".
- Status Column: Green text on white background if “Completed”, red if “Open” or “In Progress”.
- Date Expiry Alerts: Highlights entries where warranty expires within 30 days (using conditional formatting based on date).
- Past Due Tasks: Any task with Date Completed blank and Date Reported older than 7 days is highlighted in dark red.
