- Instructions & Guidelines: A reference sheet with usage tips, data validation rules, and team collaboration protocols.
Maintenance Log Table Structure
The primary data sheet contains a structured table named MaintenanceData, with the following columns:
| Column Name | Data Type / Format | Description / Purpose |

| Asset ID / Location | Text + Auto-Generated ID | A unique identifier for the asset (e.g., "HVAC-03", "Desk-14B") or office zone (e.g., "Floor 2, West Wing"). |
| Asset Type | Drop-down List | Categorized as: HVAC, IT Equipment, Furniture, Lighting, Plumbing, Security System. |
| Description of Issue | Text (max 250 characters) | Clear and concise description of the maintenance need. |
| Assigned Technician | Drop-down List (Team Members) | Select from a list of team members responsible for handling the task. |
| Status | Drop-down: "New", "In Progress", "Pending Review", "Resolved", "Cancelled" | Tracks the lifecycle of each maintenance request. |
| Date Scheduled | Date (dd/mm/yyyy) | When the technician plans to start work on this task. |
| Date Completed | Date (dd/mm/yyyy) – Auto-filled when status = Resolved | Automatically populates once the task is marked complete. |
| Duration (Days) | Formula: =IF([Date Completed]<>""; [Date Completed]-[Date Scheduled]; "") | Calculates how long the repair took, useful for performance analysis. |
| Cost Incurred (£) | Number (with £ symbol formatting) | Expenses related to parts, labor, or external contractors. |
| Notes | Text (unlimited length) | Additional comments from technicians or managers. |
Formulas Required
- Date Completed Auto-fill:
Use:=IF([@Status]="Resolved", TODAY(), "")(This can be adjusted based on when the team approves completion.) - Duration Calculation:
Use:=IF(AND([@Date Scheduled]<>"", [@Date Completed]<>"", [@Status]="Resolved"), [@Date Completed]-[@Date Scheduled], "") - Next Due Date (for recurring maintenance):
Use: For tasks like quarterly HVAC checks, use a formula like=DATE(YEAR([@Date Completed]), MONTH([@Date Completed])+3, DAY([@Date Completed])). - Count of Open Tasks per Technician:
Use:=COUNTIFS(StatusColumn, "In Progress", AssignedTechnicianColumn, "John Smith")
Conditional Formatting Rules
To enhance readability and highlight critical issues, the following conditional formatting rules are applied:
- Overdue Tasks: If "Date Scheduled" is earlier than today AND status ≠ "Resolved", highlight the row in red.
- Status Colors: Use color-coded cells based on status: New (yellow), In Progress (blue), Resolved (green).
- Aging Issues: Tasks older than 7 days without update are highlighted in amber.
- High-Cost Items: Highlight any entry where Cost Incurred > £500 with bold red text.
