The template’s Simple style ensures that even non-technical staff can navigate it without training, making it ideal for small to medium-sized offices aiming to improve organizational efficiency.

Sheet Structure and Naming Conventions

The Excel file contains three primary sheets, each serving a distinct purpose within the office management workflow:

  1. Projects List: The central hub for all project data, where new projects are added and tracked.
  2. Project Details: A detailed view of individual projects with extended information such as deliverables, tasks, and milestones.
  3. Dashboards & Charts: A visualization sheet offering real-time insights through charts, status summaries, and performance metrics.

Table Structure and Columns in 'Projects List' Sheet

The main table in the Projects List sheet is structured to capture all essential information about each office management project. The table spans from cell A1 to G200, with headers starting at row 1.

  • Project ID Auto-Generation (Column A): Use the formula =IF(A2="","", "OM-" & TEXT(ROW()-1,"000")) to auto-generate unique identifiers starting from OM-001.
  • Progress (%) Calculation (Column G): =IF(E2="", "", IF(F2="", 5%, (TODAY()-E2)/(F2-E2)*100)). This calculates progress based on elapsed time, with a minimum of 5% for active projects.
  • Remaining Days (Column H): =IF(F2="", "", IF(TODAY()>F2, "Overdue", F2-TODAY()))
  • Status Color Logic (Conditional Formatting): See below section.

Conditional Formatting Rules

To enhance visual clarity, the following rules are applied:

  • Project Status Highlighting (Column D):
    • Not Started: Light gray background.
    • In Progress: Yellow fill with dark text.
    • On Hold: Orange background.
    • Completed: Green background.
