Excel Template: Operations Dashboard – Maintenance Log (Business Use)

This comprehensive Excel template is designed specifically for business operations teams seeking to streamline and monitor equipment maintenance activities through a centralized, real-time Operations Dashboard. The template functions as a robust Maintenance Log, integrating structured data entry, automated reporting, and visual analytics—all tailored for professional business environments. Built with scalability and ease of use in mind, this template supports enterprise-level asset management by enabling teams to track maintenance schedules, identify recurring issues, reduce downtime, and improve operational efficiency.

Sheet Structure

The template consists of four primary sheets:

  • Maintenance Log (Main Data Sheet)
  • Dashboards & Reports
  • Asset Inventory
  • User Instructions & Data Validation

Maintenance Log (Main Data Sheet)

This is the core of the template where all maintenance activities are recorded. It serves as a dynamic database for tracking every service, repair, inspection, or preventive action.

Table Structure and Columns

The data table begins in cell A1 and expands dynamically. Here are the columns with their respective data types:

Options: On-Time, Delayed, Pending.

Formulas Required

The following formulas are applied to ensure data integrity and automate insights:

  • Maintenance ID (Column A): =TEXT(TODAY(), "YYYYMMDD") & "-" & TEXT(ROW()-1, "000") – Generates a unique ID based on date and row number.
  • Status Calculation (Column H): =IF(ISBLANK(G2), "Pending", IF(G2 <= F2 + 3, "On-Time", "Delayed"))
  • Duration (Column I): =IF(OR(ISBLANK(F2), ISBLANK(G2)), "", G2 - F2) – Calculates days between initiation and completion.
  • Downtime Impact (Column J): =IF(I2 = "", "N/A", IF(I2 > 3, "High", IF(I2 > 1, "Medium", "Low")))
  • Total Records Count (Dashboard): =COUNTA(Maintenance_Log!B:B) - 1 – Excludes header row.

Conditional Formatting Rules

To enhance readability and highlight key data points, the following conditional formatting rules are applied:

  • Status Column (H): Red fill for “Delayed”, Green for “On-Time”, Yellow for “Pending”.
  • Duration (I): Color scale from light green (fast) to dark red (long duration).
  • Downtime Impact (J): Red text if "High", Amber if "Medium", Green if "Low".
  • Date Columns: Highlight dates older than 7 days in light gray for overdue tasks.

Dashboards & Reports Sheet

This sheet displays key performance indicators (KPIs) derived from the Maintenance Log. It serves as the central Operations Dashboard.

  • KPIs Displayed: Total Maintenance Records, % On-Time Completion, Average Duration, Top 5 Assets with Most Repairs.
  • Charts Included:
    • A bar chart showing maintenance frequency by asset type.
    • A line chart tracking monthly maintenance volume (trend over time).
    • Pie chart for breakdown of Maintenance Types (Preventive vs. Corrective).
    • Heatmap displaying high-risk assets based on downtime and recurrence.

Asset Inventory Sheet

This supporting sheet maintains a master list of all equipment with details such as manufacturer, model, warranty expiration, and last maintenance date. It is linked to the Maintenance Log via Asset ID for consistency.

User Instructions & Data Validation

The final sheet contains step-by-step guidance for users on how to:

  • Enter new maintenance records using drop-down menus.
  • Update status and completion dates.
  • Interpret dashboard KPIs.
  • Add filters and sort data by date, asset, or status.
