Excel Template for Process Documentation: Stock Control for Startups

Purpose: This Excel template is designed to help startups establish comprehensive process documentation around their stock control operations. It ensures transparency, efficiency, and scalability in inventory management—critical for early-stage businesses navigating rapid growth. The template combines structured data tracking with process documentation elements to support SOP (Standard Operating Procedure) creation and continuous improvement.

Template Type: Stock Control

This stock control template serves as a centralized system for startups to manage inventory levels, monitor product movement, track supplier performance, and document all processes involved in the stock lifecycle—from procurement to sales fulfillment. The structure supports both physical and digital inventory tracking, making it ideal for e-commerce startups or small manufacturing operations.

Style/Version: Startup

Designed with a clean, minimal aesthetic optimized for early-stage teams, this template emphasizes usability over complexity. It uses intuitive layouts, dynamic formulas, and visual indicators to help founders and team members without accounting backgrounds stay informed. The style avoids clutter while embedding essential documentation features directly into the workflow.

  • Stock Movement Calculation: =SUMIFS(‘Stock Movement Log’!C:C, ‘Stock Movement Log’!A:A, [Item ID]) (in the Master Register)
  • Reorder Recommendation: =IF([Current Stock Level]<=Reorder Point, "Recommend: Place New Order", "")
  • Daily Sales Forecast (optional): =AVERAGEIFS(‘Sales & Dispatch Records’!E:E, ‘Sales & Dispatch Records’!B:B, [Item ID]) / 30

Instructions for the User (Startup Team)

  1. Initial Setup: Populate the Master Stock Register with all current inventory items. Use unique Item IDs and define Reorder Points based on lead time and sales velocity.
  2. Add New Stock: When receiving a shipment, record it in the “Procurement Logs” sheet first, then update the “Master Stock Register” using data from this log.
  3. Record Sales: After each order fulfillment, enter details in “Sales & Dispatch Records” and use formulas to auto-decrement stock levels (or link via VLOOKUP).
  4. Maintain Process Docs: In the “Process Documentation Hub,” write or link SOPs for common tasks like receiving goods, quality checks, or handling damaged items.
  5. Review Weekly: Use the dashboard to check low-stock alerts and reconcile physical stock counts quarterly.
